Workplace Partner – Financial Analyst

The Workplace Partner – Finance Analyst delivers timely facility-related financial analytics and reporting that drive significant business decisions and functions.

This role will partner cross-functionally with senior leadership to create robust financial and sustainability reporting and perform predictive and prescriptive analysis that plays a key role in the company's ability to achieve our key performance indicators.

Key responsibilities of this role are:

  • Financials, budget, and expense management
    • A strong understanding of financial and budget management practices. Proactively manage review business spend reporting of the Workplace, Americas Business Unit Workplace budget (about $40m annually)
    • Partner with global Workplace Team and with the Finance department to report on actuals and prepare project, quarterly and annual budgets. Work across finance organizations to ensure data is up to date and accurate. Accountable for identifying and proposing solutions to challenges that impact financial success for the Workplace, Americas Business Unit.
    • Create monthly reporting of budget vs actuals against prior quarterly and annual spend, proactively identify any unforeseen cash flow variations, and propose actionable solutions to execute on budget.
    • Draw on previous experience/external market knowledge to proactively identify and mitigate potential financial reporting indiscrepancy and improve overall budget/financial cycle process.
  • Workplace data stewardship, reporting, and comprehension
    • Partner with Regional Workplace Partners to collect data that supports AXA XL’s climate initiatives which includes collecting consumption data from individual landlords and centralizing, maintaining, and analyzing the information. Partner with the Head of Workplace, Americas, and project teams to design effective carbon footprint reduction action plans, track, and report progress, and provide comprehensive reporting on evolutions for global initiatives.
    • In partnership with Human Resource department, maintain up to date reporting on employee office assigned, office utilization, and in-office flexible arrangements. Use reporting to produce regular office occupancy and utilization updates for all offices with the Americas portfolio.
  • Leases, procurement, and vendor management
    • Procurement/vendor management expertise including expertise in corporate expense systems, and business spend management platforms.
    • Provide support to team members for the business spend management platform for the Americas Region and drive adoption of the platform through weekly reports and targeted training of colleagues (e.g., tracking individual performance to help reduce the number of retroactive purchase orders)
    • Evaluate data pulled from all business spend management platforms to derive insights and propose opportunities to improve procurement, spend, and expense management of the Americas Region.
    • Regularly review all contracts across the Americas Region liaising with the Head of Workplace, Americas, and Global Procurement to report on vendor performance via a vendor scoring process and documentation
    • Proactively anticipate and manage lease renewals for offices across the Americas Region. Understand operational business spend and compare overall impact to business needs to propose adjustments and options that maximize business expectations while minimizing budget impact.

We’re looking for someone who has these abilities and skills:

  • Bachelor’s Degree with a focus in finance or experienced background in finance project management is required.
  • Intermediate financial comprehension and reporting experience
  • Proficiency in data collection and interpretation, and real estate or facility-related financial concepts including amortization, capital investments, purchase order and invoice reconciliation and forecasting accruals and expense management.
  • Intermediate expertise in Microsoft Excel functions and/or Power BI capabilities.
  • Excellent communication and presentation skills and creating effective presentations and executive summaries that provide clarity around complex concepts. Ability to communicate/present to stakeholders/customers at all levels.
  • A “customer first” mentality is essential for all aspects of this position.

The pay range for this position is $ 63,000 – $ 112,000. Actual pay will be determined based upon the individual’s skills, experience and location. We strive for market alignment and internal equity with our colleagues’ pay.
