Summary/Objective:
The Warehouse Administrator prepares necessary documents, plans, and organizes the receiving, storage, and distribution of product for and to our customers. Ensures proper processes are followed for all items shipped or received either from suppliers or production facilities, ensuring a smooth and consistent operation so product and supplies are located and distributed to proper departments in an effective and efficient manner as needed to satisfy internal and external customer requirements.

Essential Functions:

  • Process orders from All Customers including private customers; ensuring product, delivery, and documentation are done in a timely and professional manner
  • Maintain a presence at the service windows, which includes verifying delivery and shipping information, coordinating warehouse documentation and support, retaining proper documentation for records purposes, and tracking warehouse production to ensure shipping in a timely manner
  • Coordinate scheduling of shipping and receiving, ensuring timely warehouse contribution in conjunction with various warehouses and warehouse personnel
  • Handle communication between freight companies and warehouse customers
  • Organize warehouse and product inspections needed on a federal and state level based on product
  • Release orders for outbound documentation, taking into consideration private request from shipper or customer.
  • Complete Cover Sheets, Order Process, Print Pick Tickets, Bills of Lading and Warehouse Instructions
  • All Shipping and Receiving Functions
  • Ensure all bills of ladings are Ship Confirm, all shipments for the day
  • Print receiving labels, file and complete all FDA/USDA documentation
  • Communicate to all departments to accomplish the shipping and receiving mission in an effective and efficient manner
  • Monitor and ensure receiving reports, accurately report material received
  • Resolve discrepancies with accounting regarding invoices, packing slips, and receiver reports.
  • Monitor the flow of paperwork from shipping or receiving to inventory control for timely data entry

Education, Experience and Skills:

  • Bilingual – English/Spanish – Preferred
  • Minimum - Associate Degree or 2-3 year similar experience
  • Ability to effectively present information and respond to questions from managers, employees, vendors and customers
  • Detail oriented, ability to stay focused, and multi-task
  • Computer Literate
  • Effective oral and written communication skills
  • Commitment to company values and strong customer orientation

Work Environment:

  • For the most part the ambient temperature will be moderate to cool. Warehouse is refrigerated
  • The work is performed sitting at a desk. At times walking, standing, bending and leaning over are required
  • Pace is fast paced and varies depending on the business activities
  • There will be industrial vehicles (forklifts, Hilo) moving material throughout the warehouse, outside office area

Other Responsibilities:

  • Performs other work-related duties as required and assigned
  • Some weekends and 2nd shift schedules required (rotating)
  • Flexibility in schedule preferred
