Opportunity Overview: Volunteer Coordinator
The Volunteer Coordinator is responsible for the management of the Boys & Girls Clubs of King County’s volunteer management database. Reporting to the Chief Human Resources Officer, the Volunteer Coordinator helps support club leadership by processing volunteer applications, running background checks, ensuring volunteers have completed proper waivers and safety trainings before being cleared to sign up for volunteer opportunities. This position is a hybrid role working part time on administrative duties in the mornings and working the remainder of their shifts directly with youth in our clubs from 2pm-6pm Mondays, Tuesdays, Thursdays and Fridays, 1pm-6pm on Wednesdays for early release.
Essential Duties:
- Implement policies and procedures for volunteer recruitment, selection, training and participation in activities throughout the organization
- Contribute to operational strategic planning by identifying opportunities for volunteer participation, then utilizing the volunteer talent pool to match volunteers with specific opportunities and training volunteers to assist in implementing program activities
- Conduct evaluation of volunteer activities and participation, refining selection and training activities to ensure a high level of satisfaction by volunteers and staff
- Develop collaborative relationships with other organizations supporting volunteerism or serving as potential sources for Club volunteers
- Coordinate special events and Club-wide activities to increase awareness of existing and new volunteer programs and to recognize volunteers
- Update/maintain volunteer and alumni contact information in volunteer management system.
- Provide engaged presence to prepare youth for success while creating a safe and healthy Club environment that facilitates positive youth development
- Ensure facilities, equipment & supplies are maintained
- Assist with planning, developing, implementing and evaluating programs
- Collect and track Club member attendance, coursework and behavior data
- Model mature work behaviors to ensure a productive work environment
- Ensure program areas are set-up and cleaned up on a daily basis
- Assist in facilitation of club specific and BGCA core programs
- Assist in facilitation and delivery of High Yield Learning Activities (HYLAs)
- Ensure member confidentiality during and after employment: which includes, but not limited to membership data, and school data and other information obtained
- Affirm positive behavior in members, and deliver coaching conversations and redirection when needed
- Build partnerships with parents and families
- Develop programs and activities that support the three impact pillars: healthy lifestyles, good character and citizenship, and academic success
RELATIONSHIPS:
Internal: Maintains close contact with the HR team, Resource Development team, club staff and administrative office staff to receive/provide information, discuss issues, explain or interpret guidelines/instructions, instruct, and advise/counsel.
External: Maintains contact as needed with external community groups, agencies, vendors and others to network, collaborate and/or assist in resolving problems.
QUALIFICATIONS
KNOWLEDGE, SKILLS, AND ABILITIES
- High School diploma required, some higher education preferred
- Three years office experience, including training in administrative skills and use of common office equipment preferred
- Must be at least 18 years of age
- Must be willing to complete requirements for staff in licensed programming (e.g. TB testing, Obtain Merit Number, Basic Merit Training, Portable Background Check)
- Clean driving records with at least three years of driving experience preferred
- Experience working with databases preferred
- The ability to efficiently utilize Microsoft Office Suite required
- Experience with running background screenings preferred
- Good organization and attention to detail required
- Ability to learn and implement new ideas for the good of the organization required
- Strong customer relations skills required
- Inspires trust through demonstrating professional presence and maintaining strict confidentiality in HR related matters required
- Strong oral and written communication skills required
- Strong prioritization and time management skills required
- Good planning skills and provide tactical solutions required
- Define problems, collect data, establish facts and draw valid conclusions required
HOURS: Full Time, 40 hours per week
LOCATION: Remote work at club sites with occasional travel to CSC
SALARY: $24.00 - $27.000 / Hour DOE
FLSA: Non-Exempt
Key Performance Indicators:
- Timely and accurate maintenance of volunteer records
- Provide excellent employee and volunteer support
- Achieve 100% compliance on volunteer tracking, background screenings, and completion of safety trainings
- Enthusiastically engage with club youth during club shifts on a consistent basis

Staff in this position work in an office, club site, and/or home office (with approval). The noise level in the work environment is usually low to moderate. Club site noise levels can be high. While performing the duties of this job, the employee is occasionally exposed to toxic or caustic chemicals (e.g. copier toner, cleaning sprays, correction fluid, and markers).
