Volunteer Assistant/Receptionist – Operations Department – Orlando
Under the direction of the Volunteer Manager, this position is responsible for helping to manage the Volunteer and Food Drive programs as well as the reception desk.

Last year, with the help of numerous donors, volunteers and a caring, committed community, the food bank distributed nearly 58 million meals to partner programs such as food pantries, soup kitchens, women’s shelters, senior centers, day care centers and Kids Cafes.
In addition to getting food to those in our community who need it, Second Harvest transforms dozens of lives directly every year through several innovative programs. Economically-challenged adults who graduate from our 16-week culinary training program are placed in ‘better than minimum wage”’ jobs that set them and their families on a path to self-sufficiency. We provide assistance to connect people who are eligible to receive SNAP food assistance benefits with the resources they need to access the program and get help. We collaborate with many social service agencies to address the broad spectrum of needs facing many members of our community.
Department Overview
This position helps both the Operations and Development departments at Second Harvest Food Bank. The Operations team helps to run the day to day operation of our warehouse along with our drivers and branches while the Development team leads the aspects of fund development for Second Harvest Food Bank.
Work Hours
Tuesday-Saturday 7:45AM- 4:15PM; Once a month 11:30AM - 8:00PM, Wednesday Nights
Job Summary
Under the direction of the Volunteer Manager this position is responsible for helping to manage the Volunteer, Food Drive and Food Show Programs.
Job Responsibilities
1. Volunteer Recruitment
- Help supervisor evaluate volunteer needs
- Help seek and form new partnerships with potential volunteers via: volunteer fairs, United Way
- Help schedule and coordinate volunteer groups
- Help create/produce written promotional materials aimed at recruiting volunteers
- Recruit and train volunteer groups for special events or specific off-site projects
2. Record Keeping
- Input volunteer hours into Bloomerang
- Confirm volunteer groups
- Schedule in Volunteer Hub
- Input food drives into Excel sheet and send thank you letters
- Help with monthly report
3. Volunteer Supervision
- Provide orientation to new volunteers & escort them to the projects/work alongside at times
- Help sign off on volunteer hour forms for community service volunteers
- Appropriately communicate with and recognize the efforts of volunteers & food drive organizers through thank you cards/letters, thank you emails…etc
- Help with offsite projects/food shows
- Help lead volunteer projects in the warehouse when we are short staffed
4. Reception Desk
- Answer reception phone/greet guests
- Assist with welcome sign/provide list of volunteer groups
- Keep copies of BEO’s so that you are familiar with events taking place in our meeting rooms
- Assist with walk in food assistance inquiries
- Provide temporary badges to interns, guests, staff on as needed basis
- Sign for deliveries/let staff know when items have arrived
5. Coordination and Oversight of community food drives:
- Help answer calls/return messages to food drive organizers & provide timely and effective follow up and customer service when they request advice, materials, tips..etc
- Attend speaking engagements and educate potential donors on our mission and how to aid that through successful food drives
4. General- Any other duties as assigned.
Requirements:Knowledge, Skills, Education and Experience Required
- Associate’s Degree preferred or knowledge obtained from work/education related field
- Experience working with volunteers or personal volunteer experience preferred
- Proficient in planning and organizing required
- Proven success with collaboration and teamwork required
- Comfortable working with diverse populations
- Administrative Tasks
- Excellent written and oral communication skills required
- Highly organized with ability to multi-task
- Ability to speak in front of large groups
- Ability to work independently and manage time well
- Data Entry & Customer Service required
- Ability to work evenings, early mornings, and weekends as the job requires
- Proficient in Word, Excel, Publisher, Powerpoint
- Ability to travel within a six-county area (personal vehicle required – mileage reimbursement provided).
Desired Skills and/or Certifications
- Experience with Volunteer Hub preferred
- Certificate in Volunteer Management preferred
