Raritan Valley Community College has an anticipated opening for a Transfer Articulation & Graduate Associate.

The Transfer Articulation and Graduation Associate takes the lead role in coordinating the evaluation and awarding of advanced standing credit, including credit earned by completion of prior college, standardized and RVCC departmental examinations, military and life experience. The Associate is also responsible for the review of prospective graduate records to determine compliance with RVCC degree/certificate requirements. The Associate is responsible for the communication with incoming students regarding their advance standing status and with graduate candidates on their status and to provide details on participation in commencement. The Associate assists with providing training to Enrollment Services Staff on policies/procedures regarding RVCC advanced standing and graduation and designs the systems for organizing the advanced standing and graduation functions. Performs general tasks associated with registration and student record maintenance.

Duties & Responsibilities:

Oversees the process of receiving, evaluating and awarding advanced standing credit, including but not limited to the following activities:

Evaluates and makes final determination of transfer credits and credit for life experience based on guidelines established by the Dean of Instruction. This includes evaluation of college credit earned at US and foreign institutions, AP, Dantes, NYU Language Proficiency and CLEP standardized examination results, RVCC Departmental examination and military/professional training in accordance with ACE guidelines and other life experience; Awards eligible credit for RVCC equivalencies by posting to student's academic record.

Oversees and monitors the entry of college transcripts into the document imaging system to ensure that tasks are done with accuracy and in a timely manner.

Oversees entry of transfer courses equivalencies in Banner.

Communicates advanced standing credits to students; and provides oversight to the Enrollment Services Specialist assigned to assist with these duties.

Serves as primary contact for transfer articulation and graduation requirements for all programs as it relates to changes to curriculums, and policies and procedures.

Serves as primary advanced standing contact for the academic advisors. Researches and analyzes all aspects of advance standing, change of major, degree requirements, test scores, course substitutions, changes in degrees and curriculums, prior learning assessment, and transfer articulation and graduation.

In-coming Transcript Requests:

Oversees all in-coming transcript requests and issues for current and former RVCC students. Works with the third-party vendor (Parchment) to resolve issues related software, routine upgrades, and transcript requests. Maintains the transcript email inbox (15-25 daily; 30-40 during peak).

Oversees process of graduating students, and plays important role in planning and carrying out support activities related to the graduation ceremony, including but not limited to the following activities:

Coordinates activities related to graduation, including the evaluation of Application for Graduation, determination of eligibility and honors, final degree audits, updating of student academic records, production of diplomas and appropriate communications to prospective graduates regarding their status, ordering academic regalia and ceremony details. Prepares lists & reports regarding commencement. Promotes graduation among students and manages the communications sent to perspective graduates and events, such as a planned Graduation fair.

Liaison regarding course content:

Corresponds directly with external contacts, such as enrollment offices of other colleges and universities, and internal contacts, such as Faculty Department Chairs and Deans, regarding academic course content.

General enrollment duties, including the following:

Processing of registrations, adds, drops and withdrawals as well as supporting and instructing students regarding online admissions and registration.

Researches and implements standard operating procedures and timelines to streamline efficiency as it relates to enrollment services.

In absence of assistant registrar & registrar, process tuition appeals and enrollment verifications.

In collaboration with assistant registrar provide presentations on Enrollment Services and testing in Banner TEST for new releases and upgrades as needed.

Knowledge of policies and procedures:

Maintains a current knowledge of policies and procedures of RVCC, the office of enrollment Services and other college departments in order to answer inquiries appropriately and accurately. Routinely updates frequently asked questions (FAQ's) and standard operating procedures (SOP's), saves to the shared folder, and shares with colleagues.

Staff and student worker support:

As an administrator, provides support to classified staff and student workers in the absence of the registrar and assistant registrar. Provides clarity, direction and resolves conflicts. Training for classified staff and student workers on enrollment services processes, policies & procedures, FAQ's, and use of software & hardware.


Job Requirements:


Bachelor's degree required.

4 or more years of experience in enrollment services, admissions and/or advising.

Experience reviewing transcripts for evaluative purposes related to transfer-in credit and/or advanced standing

Strong administrative and interpersonal skills required. Excellent communication and customer service skills needed.

Experience managing complex processes.

Must be able to handle sensitive and confidential information.

Ability to work in a team-oriented environment is essential.

The ability to work independently in a detail-oriented position is necessary.

The ability to work in a fast-paced office is crucial.

Knowledge of BANNER database is desirable.

Preferred Qualifications:

Master's degree.

Bilingual.

Experience evaluating transcripts and other materials and awarding advanced standing.

Experience with overseeing graduation related activities.

Experience with ARGOs operating systems.


Additional Information:


Schedule:

A 37.5-hour work week to meet the needs of the office to serve students, and additional evening hours during peak registration periods or as required.

Physical Demands:

Requires sitting, standing, bending, kneeling and/or crouching, and walking.

Looking at and utilizing computer monitors.

Occasionally move and lift up to 30 pounds.
