SUMMARY:
Responsible for ensuring that all loan documentation is received, audited, processed, and that liens are perfected in accordance to Department of Motor Vehichles (DMV All States) and Silver State Schools CU requirements. Follow up for timely receipt from the appropriate agency. Assist in all loan department activities by performing the following duties and clerical functions:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other comparable duties may be assigned.

  • Filing lien instruments, pledged as collateral, on motor vehicles and recreational vehicles. Duties include the filing process, preparation of titles to send to the DMV, maintaining records, following up, disbursing checks to the DMV, and attending to the renewal or release and mailing of titles.

  • Ensures DMV transactions are processed in a timely manner to avoid penalties and reduce fees charged by the state DMV while verifying any required paperwork is provided for all collateral loans.

  • Follows up on titles from dealerships, other institutions, finance companies and members associated with loan transactions. Keeping record of notices and follow up correspondence. Reporting any non-perfected titles to management.

  • Follows up on titles submitted to DMV as needed and keeps a record of all correspondence.

  • Processes title paperwork for transactions within state DMV guidelines for private party purchases, refinances, lease buyouts, dealership purchases.

  • Validates and releases electronic titles through the electronic titling system in a timely manner.

  • Receives and completes requests from Credit Resolutions to prepare titles for any repossessions, Loan Servicing to prepare titles that were deemed a total loss, and from branches with specific member requests for their paid in full title.

  • Cross-trains and assists when needed in all functions of the Loan Processing team. These functions currently include: Quality Control (audits), Vehicle Titles, and Paid Notes.

  • Assists the Loan Officers and branch staff with processing loan documentation required to complete loan packets. Receives phone calls, emails, and IMs and assists with any title related questions.

  • Data Input computer programs used by the department. Maintain logs, checklist, etc. General office duties include member service, answering phones, photocopy, faxing, filing.

  • Prepare and send form letters, documentation, etc. to members, outside agencies, and others to ensure liens are legal and compliance regulations are met.

  • Track and process fees collected/paid to the DMV.

  • Mail titles for paid vehicle loans to members, dealers or other financial institutions. Maintain tracking and logs with title status, perfected and non-perfected titles or any pending issues and correspondence.

  • Communicate with any out of state DMV offices and members to assist in registration and perfecting the title with each state's DMV requirements. While staying updated with all DMV changes and laws pertaining to collateral titling and fees.

  • Communicate with management immediately any changes in required documents that are needed for title work as received by communications from DMV.
    Review and resolve any errors on title work in a timely manner and identify/communicate any opportunities to minimize errors in the future.

  • Organize and archive all paper and electronic title documents.

EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED) plus a minimum of one year related experience and/or training; or equivalent combination of education and experience.
