ABOUT THE JOB

This is a temporary position working on-site for 30 hours per week for a period of approximately 6 months.

Description
Under general supervision, assists Records Technician with records management and office support, responsible for performing clerical duties for the records management program and front desk/reception duties as needed. Responsibilities include scanning, post scanning quality assurance, filing and indexing, and reception duties as needed.

  • Prepares and scans documents; labels and enters documents into the computer system; convert documents to various formats; assist in transferring data between systems.
  • Provide post-scanning quality assurance to ensure accuracy and high quality; prepare files and forwards documents for recycling and/or shredding.
  • As needed performs general reception duties; receives and screens visitors and telephone calls, takes messages, directs callers and visitors to the proper office or person.
  • Performs routine office administrative duties to support SBCTA operations, including basic word processing, data entry, and filing.
  • Maintains accurate and detailed records, verifies accuracy of information, and records information.
  • Performs other duties as assigned.

QUALIFICATIONS

Minimum Qualifications

Knowledge, Skills & Abilities:


  • Modern office support practices, and procedures, computer equipment and applications, including reception equipment, standard office equipment, and word processing and database applications.
  • English usage, grammar, spelling, vocabulary, and punctuation.
  • Perform routine clerical support work with accuracy and speed.
  • Understand the principles of record keeping and records management.
  • Enter and retrieve data from a computer with sufficient speed and accuracy to perform assigned work.
  • Follow oral and written directions and work independently and/or in a team to complete routine tasks or special projects.
  • Effectively communicate in a courteous and professional manner with those encountered in the course of work.
Education, Training and Experience Guidelines
Equivalent to the completion of the twelfth (12th) grade and two (2) years of customer service or clerical office support experience with records management focus preferred. Experience using Laserfiche document imaging system preferred.

Licenses and Certifications:
  • Possession of, or ability to obtain, a valid California Driver’s License and proof of automobile liability insurance by time of appointment.
  • Position may require pre-employment background investigation.

SUPPLEMENTAL INFORMATION

Physical Demands
Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. This is primarily a sedentary position although standing in and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Will be required to bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information and must possess the ability to lift, carry, push, and pull materials and objects up to 50 pounds.

Environmental Elements
Work is performed in an office environment with moderate noise levels and controlled temperature conditions.
