SUMMARY OF POSITION
Under direct supervision, provides clerical support for the McKinney Convention & Visitors Bureau. Employees in this classification perform clerical work. Position is responsible for answering telephone calls, providing customer service, maintaining files/records, typing documentation, entering data into computer, making copies, and processing sales transactions. This position works 19 hours per week and must work various shifts, including evenings and weekends. Performs related work as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provides clerical support for an assigned department/division processes a variety of documentation associated with department/division operations within designated timeframes and per established procedures. Knowledge of CRM.
- Answers telephone calls and greets visitors ascertain nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; retrieves messages from voice mail or answering machine; initiates and returns calls as necessary; relays calls/messages via electronic devices.
- Performs customer service functions in person, by telephone, and by mail: provides information/assistance regarding City, assembles and/or distributes forms, packets, or other documentation as requested; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution.
- Performs data entry functions by keying data into computer system: enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections.
- Knowledge of Website and Social Media platforms like Facebook, Instagram, and TikTok. Able to create, post, and approve content and respond to comments.
- Processes incoming/outgoing mail in assigned work email & general Info box: sorts, organizes, opens, stamps, and/or distributes incoming mail; receives/signs for incoming mail/packages and delivers to appropriate personnel; processes outgoing mail.
- Processes requests for information, including stuffing and labeling envelopes/visitors guides, stuffing bags, folding brochures, some data entry, and light office duties.
- Operates a personal computer, printer, general office equipment, telephone, tv monitor, digital camera, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, e-mail, Internet, or other computer programs; performs basic maintenance of computer system and general office equipment, such as backing up data or replacing paper, ink, or toner.
- Communicates with supervisor, employees, other departments, vendors/service providers, contractors, consultants, customers, the public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
- As a key-holder, will be expected to open and close office.
- Sales associate- selling merchandise, processing transactions, giving out change, taking inventory keeping the cash wrap area clean, and updating store owner, restocking merchandise, help with displays, and returning merchandise.
- Maintains a working knowledge of the destination’s highways, transportation systems, public and private tourist attractions, recreation areas, events, weather conditions, and accommodations.
- Ensures that visitor information publications are well stocked in the brochure racks in the lobby, outside the lobby and on display tables; disposes of outdated materials.
- Communicates with hotels and partners that have brochures on site on a monthly basis and notifies Administrative Assistant/Executive Director) when they are running low and need to be replenished.
- Maintains orderliness of reception area, conference room and storage room and keeps up with inventory.
- Comply with all written City policies and procedures.
- Adhere to assigned work schedule as outlined in City and department attendance policies and procedures.

Required Qualifications
MINIMUM QUALIFICATIONS
High school diploma or GED; supplemented by five (5) months previous experience and/or training involving general office work, reception work, sales experience, customer service, data entry, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Any work related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above specified education and experience requirements.
CONDITIONS OF EMPLOYMENT
- Must pass a drug screen and background check.
- Must have Class C Texas Driver’s License
Physical Demands/Supplemental
PHYSICAL
DEMANDS
Tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (25 pounds). Tasks may involve extended periods of time at a keyboard or work station. Some tasks require visual and sound perception and discrimination and oral communications ability.
WORK ENVIRONMENT
Essential functions are regularly performed without exposure to adverse environmental conditions.
