Description
  • Provide quality customer care when answering telephone lines to address concerns of parents, private school representatives, Early Childhood Intervention (ECI) providers, and other healthcare and community-based agencies.
  • Handle information of a complex and confidential nature and document parental concerns and student demographic information
  • Ensure the timely processing of all Parent Intake forms and student enrollment into the district’s electronic student registration system
  • Maintain a regular filing system, process routine correspondence, make supervisors aware of the needs of the office regarding inventory of office supplies
  • Type and edit documents and correspondence, including but not limited to general letters regarding case status to parents
  • Respond to inquiries from employees and the public in an accurate, knowledgeable, and efficient manner; bringing to the attention of the supervisor those that cannot be handled
  • Must maintain grooming standards and dress code
  • Act as the point of contact between the campuses and internal/external clients
  • Undertake the tasks of receiving calls, taking messages and routing correspondence
  • Handle requests and queries appropriately and in a timely manner
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills in English and Spanish (via phone, email and in-person)
  • Exemplary planning and time management skills
  • Create and maintain filing systems, both electronic and physical
  • Perform all other tasks and duties as assigned
Qualifications
  • Accredited high school diploma and advanced clerical training or an Associate’s Degree; Bachelor’s Degree preferred
  • 5 years experience in office administration and campus level support
  • Coordinating meetings, writing reports, preparing presentations, producing spreadsheets, and maintaining data for the Director of Special Education Student Supports
  • Experience in the parent-school-community relations field preferred
  • Demonstrated ability to operate office including Macintosh and IBM compatible computers, fax machines, copiers, calculators, and multiple-line telephones, and virtual meeting platforms
  • Task oriented self-starter with the ability to perform with a high degree of accuracy
  • Problem solving/investigative skills to research and respond to inquiries
  • Ability to interact effectively with all levels of district personnel and vendors
  • Ability to work with frequent interruptions
  • Ability to meet established deadlines
  • Ability to multitask and prioritize daily workload
  • Demonstrated ability to communicate with a diverse community and the public at large
  • Excellent verbal communication skills and writing ability
  • Bilingual/Biliterate required
  • High level verbal and written communications skills in English and Spanish (via phone, email and in-person)
  • Organizational, communication, and interpersonal skills required to achieve the goals of the position
  • Proficient skills in computer software programs, such as Microsoft Office (Excel, PowerPoint, Word and Access) Oracle and other database systems
