Advertised Job Summary
The Alumni Affairs/Special Events Coordinator (Alumni/Development Coordinator II) will perform a wide range of duties in support of the Dean’s Office and the College of Education to ensure the Dean’s priorities for special events, alumni relations and related/resulting programs and initiatives are met. This position will utilize the professional concepts of alumni and external relations to assist in implementing programs and/or strategies designed to inform key constituencies of institutional programs, activities, policies and practices. The primary responsibilities of the Special Events Coordinator will include a), general program support and stewardship, b) volunteer management and event planning, and c) alumni engagement strategies. The Alumni/Special Events Coordinator will also work with faculty and staff from the various centers and offices within the college to plan academic events, including lectures, symposiums and awards ceremonies.
Job responsibilities include:
Oversees set-up of on-site vendors and catering staff as needed, staff events and manage registration tables for greeting, guest check-in, distributing name tags and materials as needed, trouble-shoot during events to ensure that they run according to schedule. Communicate with various stakeholders including faculty, staff and administration in order to ensure event goals are met prior to and after the event.
Plan, organize and produce events for the College of Education which consists of working with volunteers and vendors.(Signature Events include Champions of Education Gala, Annual Homecoming Event, Student Awards Reception, Faculty and Staff Awards Luncheon, Annual Cockaboose Event, Retired Faculty Luncheon, Scholarship Luncheon and other new and miscellaneous events to support both internal and external outreach of the College of Education for students, alumni, faculty/staff and local community members.)
Spearhead and oversee alumni activities and services to include alumni reunions, alumni interest groups, liaising with vendors and suppliers, arranging meetings, and handling calls and correspondence. Plan alumni cultivation events and activities and contribute to the COE Alumni LinkedIn Group when necessary.
Maintains the Development and Alumni Relations database system, known as Blackbaud CRM, and runs specific queries and reports.
Assist as needed with special projects and/or general administrative tasks as they arise to support the needs of the Dean’s office and the College of Education, which may include but is not limited to, office reception and maintenance, meeting room coordination and logistics, fiscal processing, travel, research and data analysis.
Collaborate on marketing and collateral pieces to include programs and invitations, as well as the Eventbrite events website and email communications strategy per event. Work with the Office of Communications to ensure social strategies for events are implemented when necessary.

Minimum Qualifications
Bachelor’s degree and 1 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience. This position must be able to work a flexible schedule, including evenings and weekends, when required, to support unit events including lecture series, conferences, symposiums and alumni relations/development engagements that are on or off campus.

Knowledge/Skills/Abilities
Ability to consistently manage multiple events and priorities in a calm and professional manner. Ability to develop a proficient understanding of the database system and add meaningful data to alumni profiles. Ability to effectively work with on and off campus vendors in order to meet event needs and comply with university spending policies.
