HVAC Dispatcher
We are looking to hire a detailed-oriented HVAC Service Dispatcher. Customer satisfaction, safety, and comfort is a top priority. Maintain the Service Technicians' daily schedule and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in.
Maintain the on-call schedule for service technicians. Maintain customer database with current information. Clear and concise communications with department managers, employees, and company customers, including keeping customers appraised as to company schedule and requested lead times.
Provide accounting with maintenance contract billing information. Prepare service invoices and timecards for processing.
Dispatcher Responsibilities:
- Take incoming calls
- Schedule and coordinate all service calls as the calls are received
- Create dispatch tickets
- Dispatch Service techs one call at a time
- Dispatch Service tech from home to the first call usually prepared the evening before
- Respond to all messages left overnight
- Maintain dispatch board
- Forecast workload for 2-3 days out
- Contact customers with pending parts to communicate status and schedule return trip
- Follow up with all pending work recommended work with utilizing the pending work log
- Maintain maintenance agreements, including billing, scheduling, and staging of materials, database information, customer hard files, and renewals
- Check on special order parts for status
- Update customer files as information is received from installation
- Type service contracts for new customers
- File service orders
- Prepare paperwork for all manufacture warranties
- Facilitate return of warranty parts
- Update service database from the service ticket
- Maintain a service invoice log
- Compare service timecards and work orders to the service schedule
- Check service time cards for accuracy
- Pull checks and charge slips and compare the accuracy
- Forward checks and payments to accounting
- Other duties assigned
Dispatcher Requirements:
- Advanced customer service skills
- Ability to multi-task
- Organized
- Geographical knowledge of service area or map reading skills
- Knowledge of industry is recommended but not required
- Computer Skills
- High School Diploma or GED equivalent
- Two years of related experience and or training in customer service, dispatching, or project management.
Job Type: Full-time
Pay: $13.00 - $25.00 per hour
