The Receptionist position is in the Marion County Board of Commissioner's Office. The Board of Commissioners, made up of three elected officials, represent all persons residing in Marion County. The board sets policy for the administration and operation of county government.

GENERAL STATEMENT OF DUTIES
Provides main reception duties for the Marion County Board of Commissioners. Performs administrative support activities of a complex or technical clerical nature, which requires advanced skills, independent judgment and discretion; may act as lead worker of a specific clerical function overseeing the work of others; and performs other related duties as assigned.

SUPERVISION RECEIVED
Works under the general supervision of a supervisor/manager or professional employee, who assigns work, establishes goals, and reviews results obtained for compliance with department and program policies, procedures and goals.

SUPERVISION EXERCISED
Supervision of other employees is not a responsibility of positions in this classification; however, may exercise lead direction over other clerical or office staff.

Typical Duties - Duties include, but are not limited to the following

  • Acts as primary front desk receptionist for Board of Commissioners office. Greets and assists citizens, elected officials, department heads, employees and community representatives. Provides customer service.
  • Acts as primary call-taker for incoming published telephone line for office. Fields constituent inquiries and complaints and routes appropriately. Completes numerous outgoing telephone calls for meeting confirmations, coordination of catering, transferring to appropriate county departments and other outgoing calls as needed.
  • Monitors office supply inventory and orders general office supplies. Receives supplies, audits receipt of order and puts away in work and supply rooms; maintains all equipment, copiers, printers, and inventory of printer and ink supplies; maintains key, keycard, and computer equipment inventories; assists with conference room AV systems and set-up for meetings.
  • Processes incoming and outgoing mail. Stamps, sorts, copies, distributes internally and sends to other departments a needed. Processes outgoing mail. Maintains filing system for retained mail. Monitors and routes newspaper articles relating to Marion County.
  • Assists with yearly and on-going archiving of Board’s Office documents; performs primary data entry for Constituent Management System; backs up on answering and forwarding constituent inquiries through the commissioners’ email; assists with event planning, internal office and birthday celebrations, annual United Way employee contribution campaign, food drive, and other countywide events.
  • Prepares one-week calendars for public noticing; uploads calendar to website; notices revised calendars as needed. Updates Courthouse Square lobby screen weekly; Organizes and maintains department group directory and shared email lists. Assists primary scheduler with coordination of various conference and event registrations and makes travel arrangements, including related purchasing for Commissioners and other department staff using a county procurement card.
  • Prepares county service awards for all county departments. Coordinates commissioners’ signatures and schedules presentations with departments.
  • Assists Board Session Coordinator to prepare and edit Board Session minutes on a weekly basis.
  • Provides back-up to scheduler for executive and office staff. Schedules must accommodate county leaders, other government officials and community partners. Scheduling includes, but is not limited to, individual appointments, work sessions, executive sessions, weekly calendars for public notice, small and large group meetings.
  • Acts as emergency floor monitor.
  • Assists with special projects as needed.

Requirements for the Position

MINIMUM QUALIFICATIONS

  • Graduation from high school or GED equivalent; AND
  • Two (2) years of general office experience; including at least one (1) year of experience utilizing a variety of computer software programs (Please list specific software and number of years of experience with the software on your application.); OR
  • Any satisfactory combination of work, education, training, or experience relevant to the position, as determined by Marion County.
ADDITIONAL REQUIREMENTS
  • The finalist for this position will be required to pass a criminal history background check, however conviction of a crime may not necessarily disqualify an individual for this position.
  • This is a full-time position, which is eligible for overtime.
  • This position is represented by a union.
  • Typical work schedule: Monday - Friday, 8:00 a.m. - 5:00 p.m., with flexibility depending upon the needs of the department.
REQUIRED KNOWLEDGE, SKILLS AND ABILITY
Considerable knowledge of: accepted modern office practices, procedures and techniques; English composition, spelling, and grammar; arithmetic, clerical/accounting principles and processes; Some knowledge of: techniques of supervision and training; concepts and techniques of prioritizing/organizing work; applicable program policies and procedures and/or rules, regulations and statutes depending upon assignment of duties and responsibilities.

Substantial skill and ability to: independently, accurately and effectively perform assigned tasks and duties following established procedures and program policies; meet and assist the public, staff, clients, and other personnel of other businesses in a courteous, professional manner; comprehend and adhere to stated oral and written instructions, communications and procedures; apply principles, policies and procedures to specific work assignments; provide training to others; give and prioritize work assignments.
