JOB SUMMARY
The Receptionist is the face of Dolese and will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. This position will answer incoming calls and direct callers to appropriate staff members and distribute incoming mail and FedEx/UPS packages. The role will also provide administrative support to various departments as needed.
KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS
- Promptly greet clients, visitors, and guests with direct eye contact and a smile
- Determine the purpose of each person’s visit and contact the appropriate Dolese employee to meet their guest and ask the visitor to look around the museum while they wait
- Maintain the reception area and museum, which includes checking on guests, offering beverages, and light cleaning
- Understand and relay the basic history of Dolese
- Direct all visitors to sign in and wear a visitor badge while on the Dolese Support Services Center premises
- Answer incoming telephone calls, screen callers regarding the purpose of the call, and transfer to the appropriate staff member or department in a polite and professional manner
- Receive mail, documents, packages, and courier deliveries and deliver or distribute items
- Check the voicemail system each morning for previous night’s calls and forward all voicemail messages to the appropriate employee’s mailbox
- Ensure proper coverage of the desk when it is necessary to leave the area
- Perform administrative and clerical support tasks
- Regular, reliable attendance at the worksite or assigned work location
- Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed
QUALIFICATIONS
Education & Experience
- High school diploma or equivalent required
- Previous experience working in a reception or front desk environment required
Knowledge, Skills & Abilities
- Must be professional, articulate, patient, and client-service oriented
- Proficient with Microsoft Office Suite or related software
- Ability to change priorities quickly, follow directions, and report to work at the specified scheduled hour
- Ability to remain composed and handle questions or concerns in a courteous manner
- Excellent verbal communication skills
- Excellent interpersonal and customer service skills
- Professional appearance and demeanor
- Basic understanding of administrative and clerical procedures and systems
PHYSICAL REQUIREMENTS
- Lift and push or pull objects of various dimensions up to 30 lbs. of weight frequently
- Ability to perform 80% sedentary work and tolerate prolonged standing/sitting/walking
- Ability to repeatedly balance, bend from the trunk, crawl, kneel, push and pull objects
- Ability to use hands and fingers to handle or feel
- Ability to verbally communicate, hear, and see
