Summary/Objective:
The Properties & Facilities Administrator will provide administrative support to our Properties and Facilities team, including managing daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services. This position will manage outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing communication and scheduling support as needed.
The position is in Bigge’s Houston, Texas office. This is not a remote position.
Responsibilities:
- Assist the Properties Manager in all aspects of project implementation as needed.
- Support the Properties Manager with external contacts, including assisting in RFQ’s, contract documents, and vendor communication.
- Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
- Coordinate all Facilities activities, work direction, and support systems.
- Supervise and train facility employees and contractors as needed.
- Set up, maintain, and organize the department's central files, information, and messages.
- Provide administrative support to the Facilities team.
Qualifications:
- This position requires at least 3-5 years of office clerical/administrative support experience and proficiency in Microsoft Office products (primarily MS Word, Excel and Outlook).
- High level of confidentiality and attention to detail
- Ability to quickly learn new software
- Excellent organization, a love of working on process-based tasks, and detail-oriented.
- Work well under pressure; meet multiple deadlines and sometimes conflicting deadlines.
Must demonstrate an outgoing personality with the ability to multi-task, exceptional customer relation and communication skills (both verbal and written), is a fast learner, and performs
