Position: Assistant Project Administrator
Department: Corporate/Administrative
Position Summary: This position provides overall support to the staff and the Glens Falls office. Executes various administrative functions relating to front office administration, office management/back office administration and Project Management support.

Knowledge, Education, and Experience
Solid communications skills with the ability to effectively interact with internal and external "customers, at all levels. Proficiency with Microsoft Office products including Word, Excel, etc experience is required. Flexibility and adaptability is key as this position is diversified and has a variety of components from clerical/administrative to more complex office administration and project management support.

Reception/Front Office Administration:
- Handle front office activity
- Mail management (outgoing and incoming, packages, deliveries)
- Order office supplies and equipment for Glens Falls office
- Coordination of Meetings and Conference Room Scheduling (includes food ordering, etc)
- Copies, faxing, scanning as requested
Office Management/Back Office Administration:
- Coordinate with IT on issues, services calls, order related supplies, etc
- Facility Liaison: coordinates with Operations Manager for parking, cleaning service (direct to GF), emergency situations and key tag lists
- Health and Safety: Primary Emergency Coordinator contact
- File Management/Archiving/scanning
- Office clean up (filles/dead files)
Project Management Administration/Support:
- Project Schedules
- Track draft invoices
- Assist with coordinating QA/QC schedules and compliance tracking
- Plotting/scanning/modifying plan sets and submissions
- Provides admin. support to PM's and Department Managers within Glens Falls office, as needed
- Provides admin. support to Senior Principals/Principals within Glens Falls office, as needed
