This position will focus fully on developing and delivering the entertainment marketing certificate program created through the collaboration between Otis College Extension and Netflix. The Program Coordinator will support and execute various important tasks related to Extension’s operations and communications while providing support for curricular engagements. Through working directly with students, instructors, Otis and Netflix staff, and the broader community, this position will play a vital role in the execution of the program. The goal of this certificate program is to serve as a pathway for students from communities who have historically lacked the necessary access to employment opportunities in this field to be able to enter the workforce upon completion, which will increase diversity in this industry. The Program Coordinator will make a crucial impact on the ultimate success of the Otis Extension/Netflix certificate program and the students who enroll.
Location Los Angeles, CA (Westchester) Essential Duties Summary
  • In coordination with the Dean of Extension and other appropriate Extension/Otis College/Netflix staff members, assist with and execute various operational Extension work functions.
  • Coordinate important logistical information related to the Otis Extension/Netflix certificate program directly with Extension instructors, students, Extension/Otis College/Netflix staff, outside partners/entities, and other individuals.
Serve as main point of contact for all Extension student and instructor inquiries related to the Otis Extension/Netflix certificate program, as well as inquiries from interested families during the application process.
Facilitate course and program elements including, but not limited to, models, Zoom ID’s, required equipment/supplies, classroom space scheduling and set up, off-site logistics, and course materials.
  • Assist with the maintenance of the Extension website through the inputting of new and updated information and ensure that all public facing information is current and relevant. Ensure policies/procedures, course information, and other program information is communicated accurately and effectively through online, email, phone, marketing, and other communication channels.
  • Coordinate the procurement and distribution of attendance rosters, grading rosters, course materials, informational materials, marketing materials, etc.
  • In coordination with the Dean of Extension and appropriate Extension/Otis College/Netflix staff members, ensure that Extension instructors deliver all grades, course materials, attendance rosters, evaluation forms, etc. related to their specific program correctly and in a timely manner. Assist with and facilitate communications and outreach relevant to instructors and students related to curricular programming information, policies, procedures, and updates.
  • Assist with the preparation and execution of special events to support the Otis Extension/Netflix certificate program, such as program opening and closing ceremonies, information sessions, panel discussions, recruitment events, etc. Attend functions to ensure satisfactory outcomes.
  • Collaborate with other offices, departments, staff across the College, corporate partners, Extension students/instructors, Netflix, and the general public. May be asked to represent Extension on Otis College committees and at meetings.
  • Adhere to FERPA and other federal and state laws/policies governing higher education.
  • Provide guidance and instruction to student employees and volunteers, as assigned.
Required Qualifications
The successful candidate must be a self-starting, hardworking, creative, strategic thinker capable of multi-tasking, working professionally with current, former, and prospective Extension students, and able to provide outstanding customer service at all times. Must be able to work both independently and as part of a team. Knowledge of policies, procedures, and regulations affecting student registration and enrollment, and student privacy is required. Must have knowledge of art and design fields and professions offered within Extension. Excellent organizational skills with attention to detail required. Must have demonstrated commitment to working with diverse populations of students, faculty, and staff.
Preferred Qualifications
At least three years of relevant higher education administration experience preferred. Bachelor’s degree preferred. Previous experience working in Continuing Education/Extension previously preferred.
