Job Title: Program Assistant

SUMMARY:
Coordinates special Admissions Office activities within the department. Assists in the planning and support of program activities. Coordinates office operations.
Coordinates and maintains the department calendar. Regularly coordinates meetings, arranges programs, events, and/or conferences, including arranging for facilities usage and caterer, issuing information and invitations, coordinating speakers, and tracking event budget.
Responsible for the coordination and planning of the Admissions interview process. Serves as liaison and coordinates office activities with community agencies and educational institutions. Initiates the planning and implementation of undergraduate/graduate school program visits to RowanSOM.
Prepares grant and budget development for special programs/activities.
Responsible for all Admissions budgets including review of budget report information, all Admissions department accounts, monitoring expenditures and ensuring compliance with budgets.
Attends training sessions regarding budget maintenance in order to remain compliant with University policies and procedures. Serves as principal liaison with various administrative units of the University such as Purchasing and Accounts Payable.
Maintains essential department records and assists in the maintenance of all files and enters information into Admissions databases.
Ensures the accuracy of data in the Banner system and other software programs relative to Admissions. May participate in some off-campus recruitment and overnight travel to colleges and universities for scheduled recruitment fairs.
Screens calls and provides information in accordance with organizational policy. Answers inquiries from prospective applicants and students, receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries. Undertakes routine writing and editing assignments: generates correspondence for signature; maintains electronic lists.
Understands and adheres to Rowan University's compliance standards as they appear in Rowan University's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy. Performs other duties as assigned by the Assistant Dean for Admissions.

EDUCATION and/or EXPERIENCE:
Bachelor's Degree in Business Administration, Higher Education, Social Science or a related discipline, plus one (1) year of related experience in a business office, government agency or university setting is required. Experience in Admissions preferred. Computer literate and familiarity with systems and educational research.
