Payroll & Benefits Specialist

Our client, a company with a mission to empower all young people, especially those who need us most, to discover their full potential as caring, engaged, responsible community members, is seeking an experienced payroll & benefits specialist. This person will be the company’s subject matter expert with all payroll, benefits, and HRIS administration and is expected to administer the organization’s payroll processes. In addition, this person will be responsible for reviewing submitted payroll and related information, making corrections, preparing reports, responding to inquiries from employees and external customers, and preparing payroll and associated reports to internal and external stakeholders, as required.

Hybrid: Portland, OR (MUST BE LOCAL)

Salary Range: $58,000-65,000 (with generous total compensation package)

Key Responsibilities for Payroll & Benefits Specialist:

Payroll Administration

  • Responsible for monthly payroll processing including but not limited to: preparing pre-notes, creating spreadsheets, processing retro benefits, deductions, garnishment payments, payroll deductions, calculating pay sheets, confirming payroll cycle, creating direct deposit files, running benefits distribution, running general ledger interface and printing payroll reports.
  • Manage final evaluation of all payroll data, and verify payroll changes to new, current and any terminated employees
  • Maintains payroll and benefit record requirements for accounting of salary, benefits, accruals, and deductions.
  • Process payroll for hourly, salaried, and temporary employees.
  • Maintain processes to meet federal and state payroll laws.
  • Administer regulatory requirements, e.g., garnishments, tax levies, and support orders, and other adjustments to pay as necessary.
  • Implement and maintain payroll best practices to improve efficiency.
  • Evaluate and implement payroll/HRIS systems upgrades and changes.
  • Produces scheduled and ad-hoc reports related to payroll and human resources requirements.
  • Ensures payroll database reflects current and accurate information; verifies and inputs pay and data changes.
  • Creates new hire personnel files and maintains personnel and payroll records as set forth in the records retention policy.
  • Maintains confidentiality regarding personnel actions; confidential and sensitive performance problems; documents of non-renewal and termination actions, organizational plans, and legal actions where premature disclosure could disrupt activities within HR.
  • Identify, recommend, and implement appropriate business process efficiencies in payroll processing. Responsible for staying abreast of changes and updating payroll, time and labor, deduction, and rate tables as necessary.
  • Resolve payroll issues and concerns with internal stakeholders such as employees, departments, and schools through effective communication skills and customer service. Calculate checks as necessary.
  • Maintains complete electronic employee personnel files, records, and other documentation for employees.
  • Prepares statistical summaries and reports from the HRIS involving payroll information, performance management, demographic data, and other employee data.

Benefits Administration

  • Administer all employee benefit programs, including enrollments and terminations.
  • Supports HR with new employee onboarding process in presenting benefits presentations to ensure employees gain an understanding of benefit plans and enrollment provisions.

Requirements/Qualifications for Payroll & Benefits Specialist:

  • Proficient with Payroll Systems; experience with ADP Workforce is preferred.
  • 3-5 years of accounting/payroll experience or an equivalent combination of education and experience
  • Demonstrated skills in the utilization of automated HR systems, including report writing and the use of PCs and related software
  • Knowledge of federal, state, and local laws, regulations, and guidelines related to assigned work.
  • Experience evaluating and analyzing technical payroll activities.
  • Experience preparing detailed payroll reports.
  • Ability to maintain confidential information.
  • Excellent interpersonal skills, both verbal and written.
