Position Summary: Responsible for assisting the Payroll Manager with the accurate and timely processing of the healthcare system’s payroll, which includes multi-state processing. Answer inquiries regarding paychecks, deductions, and other related matters. Assist Payroll Manager with the review and reconciliation of timecards and various deductions. Prepare payroll corrections for review and processing as needed. Prepare and reconcile withholding taxes and quarterly returns for review and submission by the Payroll Manager. Assist with the reconciliation of W2s and annual returns.
Duties/Responsibilities Include:
- Assists with the accurate preparation of the healthcare system’s payroll on a biweekly basis.
- Reviews termination lists for additional payroll processing needs.
- Prepares routine payroll corrections for accuracy of employee payments.
- Prepares general ledger reconciliations, entries and analysis for review by Payroll Manager and/or Director of Accounting & Treasury.
- Assists with the compilation of financial, tax, and payroll reports for both external and internal purposes.
- Creates journal entries to post payrolls to the general ledger.
- Prepares and reconciles all monthly and quarterly payroll tax returns, including but not limited to 941s, for review and submission by the Payroll Manager.
- Assists with the reconciliation and issuance of W-2 Wage and Tax Statements.
- Assists timekeepers on the proper usage of the time and attendance system.
- Reviews timecards for corrections as needed.
- Processes routine deductions accurately and timely.
- Prepares funding requests for third party deductions.
- Contributes to the testing and implementation of system upgrades for time and attendance software and/or payroll software.
- Assists with the development of new procedures and policies related to payroll operations utilizing knowledge of state and federal policies.
- Process ACH returns, BLS reports and payroll verifications.
- Contribute to departmental and organizational special projects as assigned.
- May perform other duties as assigned.
QUALIFICATIONS
Education:
- Associates degree in Accounting, Finance or Business Administration, required.
- Bachelor’s degree in Accounting, Finance or Business Administration, preferred.
Experience:
- Minimum experience of two years in payroll, required.
- Healthcare setting experience, preferred.
- Multi-state/EIN setting experience, preferred.
Special Skills:
- Strong organizational skills, required.
- Strong verbal and written communication skills, required.
- Excellent customer service skills, required.
- Proficiency with Microsoft Office (including Word, Excel, Outlook & PowerPoint), required.
- Advanced Microsoft Excel skills, preferred.
- Ability to work independently and in a team setting.
- Able to manage and adapt to multiple demands, shifting priorities and possess a sense of urgency.
- Able to manage strict deadlines.
- Ability to function in a fast-paced environment with high level of accuracy.
- Ability to apply critical thinking skills on a regular basis.
- Previous experience with Workday, preferred.
