Position Overview
The Sr. Administrative Specialist will be responsible for managing the administrative needs of two Upward Bound programs. The primary responsibility for this position is to provide
administrative support to Upward Bound program staff. This position serves as the frontline Upward Bound contact and will perform a variety of administrative tasks.

Minimum Qualifications
Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training

Knowledge, Skills and Abilities
  • Exceptional customer service skills.
  • Advanced Microsoft Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex
nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned
function.
  • Supervisory skills.

Preferred Qualifications
Proficiency in Spanish and experience in TRIO programs are strongly preferred. At least three years of experience in office management. Knowledge of U.S. Department of Education documentation and reporting requirements and practices.

Required License / Registration / Certification

Work Schedule
Monday through Friday 8:00 am to 5:00 pm* and occasional weekends. Summer program hours may include some evenings and weekends.
  • This is a half-time (50%) position.

Job Duties

o
Provide administrative support to the Upward Bound staff as assigned.

o
Maintain and regularly audit (each semester and after summer) student files.

o
Make purchases and manage purchasing processes for the Upward Bound program.

o
Make travel arrangements and submit necessary travel paperwork for Upward Bound students and staff.

o
Assist with planning and coordination of field trips, college tours, and other Upward Bound activities.

o
Collect report cards and enter into student database.

o
Monitor Upward Bound email and respond appropriately.

o
Greet guests and answer questions.

o
Keep the reception area and workroom clean and tidy.
