Office Specialist Job at Arizona State University
The College of Liberal Arts and Sciences is seeking a detail-oriented, organized, and personable Office Specialist to help coordinate and support our front desk operations in Armstrong Hall on the Tempe Campus.
Under the supervision of an Office Specialist, Sr., this individual works with Academic Advisors and Administrators in The College Dean’s Office, various campus partners and academic departments, new first-year undergraduate students, new transfer students, and students across the university who need assistance with The College majors, minors, certificates, forms, petitions, and approvals.
As the point-person for our daily front desk operations, this position engages in a diverse portfolio of responsibilities, including: front-line clerical duties, coordinating day-to-day front desk activities, supporting and developing student employees, managing conflict and escalated situations, and creating new systems and processes to improve the effectiveness of our front desk.

Essential Duties
- 50% - Coordinate and participate in daily front-of-house responsibilities (answering phones, responding to email-based inquiries, scheduling and managing staff calendars, processing forms, assisting with new student onboarding, and greeting/assisting members of the ASU community in Armstrong Hall).
- 20% - Coordinate daily activities of our student employees and provide ongoing training and development
- 10% - Collaborate with campus partners and departments across the university
- 10% - Perform various duties as assigned
- 5% - Manage supply order process for the office
- 5% - Assist with large college events as needed
Minimum Qualifications
Three (3) years of office/clerical experience, which includes one (1) year in a directly related function; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Evidence of effective verbal and written communication skills
- Ability to articulate complex ideas and processes to various audiences
- Administrative/office experience in an institution of higher education
- Experience using multi-line phone systems and computer-based applications (e.g. Microsoft Office Suite, MyASU, Salesforce, Peoplesoft, DocuSign)
- Manage and/or coordinate staff activities, training, development, and performance assessment
- Experience in establishing and maintaining effective working relationships across diverse groups of individuals
- Experience in using organizational and time management skills
- Experience working with student staff
Working Environment
- Duties may change over time depending on unit needs.
- Regular activities require ability to manage multiple tasks at one time, to be able to prioritize tasks, to interact in a team environment, and to communicate through verbal and written work.
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
