The Office Coordinator is the liaison between the clinical staff, office staff and patients at Clinch Valley Rehab. This individual is responsible for the administration and application of all Clinch Valley Rehab policies, procedures and protocols. The Office Coordinator performs the scheduling, data collection of procedure and productivity, assist the Leader in compliance with audits and other corporate functions. The Office Coordinator also cleans modalities and work areas as need by the therapist staff. He/she performs all functions in an ethical manner in accordance to the hospital Standards of Behavior and Corporate Ethics and Compliance Program. He/she adheres to all HIPAA and other government programs. The coordinator is responsible for the application of and contribution to goals and objectives of Clinch Valley Rehab.

Essential Functions:

  • Oversee front office duties, including scheduling, obtaining insurance authorizations, faxing Plan of Care and other documents, phoning insurance companies, contacting patients about scheduled appointments for clinical staff.
  • Assists with day to day operations of the rehab department
  • Oversees and submits orders of all office supplies and perishable therapy products.
  • Assist with coordination of activities between physicians, medical personnel and support staff.
  • Monitors appointments, patient flow, medical record and staff.
  • Serves as role model for customer service and mentors support staff in the process.
  • Manages patients needs, requests or complaints in a professional way.
  • Ability to train and assist new office coordinators.
  • Manages therapists time punches in Kronos as needed.
  • Ensures compliance with regulations and with clinic standards of quality patient care.
  • Maintains privacy and confidentiality for all staff and patients.
  • Any other duties and/or special projects as assigned.
  • Expected to attend monthly staff meetings and required to complete any assigned courses related to position.

Education: High School Diploma required. Associate's Degree strongly preferred.

Experience: At least six (6) months experience in a hospital setting strongly preferred. Must be able to work in a stressful environment and take appropriate action. Must be able to work with minimal guidance and be proficient in the operation of all necessary equipment. Must be able to make sound judgment to provide good patient care and work with other members of the health care team to insure such care.
