The Department of Corrections (DOC) is seeking a highly motivated and qualified individual to take on the dynamic role of Office Assistant 3 within the Health Services Division. Correctional Health Care is a rewarding career path at DOC, in which health care professionals treat a wide array of cases for patients residing within a state correctional facility. Health Services is responsible for basic primary care for incarcerated individuals. All disciplines within each of the 12 correctional facilities work closely together to reach a common goal, providing the best, most efficient, and cost-effective health care possible. Emphasis is placed on early identification of health concerns, care for acute and chronic health problems, and preventive care.

SCCC is a 1,936-bed multi-custody facility located five miles west of Aberdeen, on the southern Washington Coast. There are seven living units for medium and minimum long-term custody individuals and an intensive management unit for maximum-custody individuals. SCCC was Washington State's first tobacco-free facility for both staff and incarcerated population.

Duties

As the Office Assistant 3, key responsibilities of this position include, but are not limited to:

Kite, Grievance, and external stakeholder (OCO, DRW, Etc.) Tracking:


  • Ensure Kites, Grievance, and external stakeholder communications are accurately logged, responded to timely and filed if appropriate for HS staff.
  • Reviews kites and grievances for Completeness, accuracy, signatures. Follows up with health services staff when document is incomplete.
  • Provides on the spot instruction to bring document into compliance and is formatted correctly.
  • Use of OMNI system to research and maintain accurate health record integrity.
  • Maintains consistency and accessibility of kites and grievances in accordance with federal and state statutes, regulatory standards, DOC policy directives, operational memoranda, and health services department procedures.

Under the direction of the Administrative Assistant 3, provides clerical support to the Health Services Manager 3, Health Services Manager 2, Health Services Manager 1, Facility Medical Director, Psychologist 4, and the RN4:
  • Administrative tasks as assigned
    • Attend meetings
    • Take minutes
    • Compose correspondence
    • Prepare Statistical Data, etc.

Workflow Management/Quality Improvement/ Place Safety Muster
  • Plan and organize daily workflow in coordination with staff and facility needs; meet deadlines and the needs of the unit.
  • Participates in Health Services Quality Improvement activities as appropriate.
  • Participates in Health Services Place Safety Muster as appropriate.
  • Other clerical cross-training support as assigned by chain of command.

Staff Support
  • Escort new hires, visitors, etc. to health services.
  • Compare trip log to trip packets.
  • Notify Patient Service Representative(s) of any discrepancies.
  • Daily pick up and distribution of Health Services Unit mail.
  • Watch porters as needed in areas where staff supervision is required.
  • Participate in regular drills, subject to emergency assignments.

Clerical Supplies
  • Learn and provide extra support for the supply chain.

Not in OMNI Report (NIO)
  • Respond to inquiries from the Medical Disbursement at Headquarters using substantive knowledge of Health Services Department policies, procedures and guidelines to review, research, and verify provider service(s).

Qualifications

What we need (Required Qualifications):


  • Experience working in an office or customer service position in a healthcare/services environment.
  • Knowledge of and/or ability to learn and understand medical terminology.
  • Demonstrated organization and time management skills
  • Demonstrate proficiency in basic computer and office skills
  • Requires bending, reaching, raising arms over head, pulling health records from shelves at all levels, lifting crates of health records and pushing carts.
  • Ability to stand and work on your feet for up to 8 hours per day
  • Ability to interpret intent of policies, procedures, written, and verbal communication
