Job Title: Mountain Area Administrative Specialist

Position Purpose and Objectives:

Under the supervision of the Mountain Area Manager, the Mountain Area Administrative Specialist performs a variety of administrative, analytical, evaluation, and tracking duties as it is associated to the functions of the Coal Creek office.

Essential Job Functions:

  • Prepares the information and documents to set up new construction requests, service orders for service upgrades, service retirements and miscellaneous service order requests. Receives meter inspection releases from the jurisdictional authority and processes them by generating service orders for both temporary and permanent meter connects. Confirms invoice payments for new, upgraded or relocation of services were received and notifies the Mountain Area Manager that jobs are ready for construction.
  • Generates all member correspondence for construction, including letters, contracts, invoices, and payments.
  • Researches, troubleshoots, and provides recommendations to field personnel regarding problems that arise in the field.
  • Creates spreadsheets for special projects as needed to provide data necessary for analysis. Conducts appropriate research for special projects.
  • Coordinates information flow between the Mountain District and Brighton and sets up conference room for All Employee Meetings.
  • Acts as the main point of contact to answer department-related questions. Responsible for the coordination of department administrative duties such as: maintaining the electronic filing system for recordkeeping and retention, maintaining office supply inventory, for the district office.
  • Composes written communication as requested by Manager.
  • Reviews Overloaded Transformer Reports monthly and creates service orders when necessary.
  • In the absence of the Mountain Area Manager, assumes responsibility for all member or departmental issues that occur.
  • Directs walk-in members and telephone inquiries relating to bills, customer changes, service requests, complaints, and payments to the Contact Center or Kiosk.
  • Perform other duties as may be requested or assigned to meet the needs of United Power in the interest of good management practices.
  • Creates, expands, and maintains professional and productive working relationships with peers and stakeholders. Works collaboratively with colleagues and fosters a spirit of cooperation in the workplace.

Education, Training and Experience Required:

High school diploma or equivalent. Must have two (2) years of administrative work experience. Two years (2) of experience in the electric utility industry is preferred.

Knowledge, Skills and Abilities Required:

  • Must have advanced experience with personal computer (Microsoft Office Suite software), spreadsheet, database experience and ERP software experience
  • Must have advanced skill with a 10-key calculator
  • Must have the ability and aptitude for detail work and be creative in looking for new ways to improve processes
  • Must have above-average math skills, with emphasis on analytical skills
  • Must possess strong interpersonal and member relation skills
  • Must be able to react to change productively and handle other tasks as assigned

Supervision Received and Exercised:

Under general supervision of the Mountain Area Manager. No supervisory duties on a regular basis, however, will oversee department personnel in the absence of Mountain Area Manager.

Essential Physical and Mental Demands:

  • Approximately seventy-five percent (75%) of the time is spent sitting, twenty percent (20%) walking, and another five percent (5%) standing. Lifting and/or carrying approximately 30 lbs. is done occasionally when moving office equipment and preparing for events. It is frequently necessary to push and pull approximately 40 lbs. when opening and closing file drawers.
  • Balancing is necessary constantly while sitting, standing, or walking. Stooping, kneeling, and crouching are done occasionally when getting information out of files or putting papers into files. Reaching, and using the hands and fingers is done constantly while using the phone, computer, typing, and filing.
  • Talking in an ordinary tone and hearing ordinary tones is done constantly while communicating with department managers, co-workers, member, etc.
  • It is important to see "near" constantly when viewing printed material, mail, telephone, computer, etc. Eye accommodation is necessary when looking from typed material to written documents.
  • Mental abilities constantly necessary to competently perform the job are alertness, precision, analytic ability, persuasiveness, problem-solving, tactile discrimination, speaking ability, memory, concentration, judgment, writing ability, reasoning, initiative, patience, visual discrimination, and aesthetic sense. Abilities the job will require only occasionally are ingenuity, creativity, and imagination.

Working Conditions:

This job is performed inside an office building at normal temperature ranges. The noise level rarely exceeds 50-60 decibels, which is normal conversation. There are no known atmospheric conditions or hazards associated with this position.
