Job Title: Marketing and Fund-Raising Events Assistant

Report to: Director Marketing and Corporate Engagement

Hourly pay: $18.25 to $21.75 per hour

Direct Reports: Event Volunteers

Work Schedule: 40 hours per week M-F 8:00 to 5:00. Some weekend and evening work required with notice.

JOB RESPONSIBILITIES

The Marketing and Event Assistant provides a full range of administrative and organizational support to the Director of Marketing and Corporate Engagement. They will exhibit an exceptional degree of professionalism and customer service to our supports and event participants.

Duties will include supporting the DMCE in the planning and execution of BBBSSA largest fund-raising events and volunteer recruitment drives. Daily activities vary widely, from utilizing Microsoft Office Suites to communicate, schedule, and track activities to providing excellent customer service to our constituents and updating websites and social media posts.

The ideal candidate will be able to manage multiple things at one time while maintaining a level head and enjoying planning and variety in their work. They will easily be able to navigate Office 365 including Outlook, Office, Excel and One Drive as well as be comfortable with learning and using needed technologies and utilizing social media to drive participation and interest in our mission. They will exhibit excellent communication, both written and verbal, and be detail oriented.

Job Duties:

Assisting with Events

As directed by the Marketing and Corporate Engagement Director:

  • Support fundraising and volunteer recruitment events from planning to execution, participation, and wrap up.
  • Maintain event tracking and record keeping including expenses, attendance, fundraising, etc.
  • Support and/or create event timelines and agendas
  • Assist with participant engagement pre and post events, to ensure excellent customer service. This may include phone, email, in person, text and letter communications
  • Research and obtain multiple bids/quotes from vendors
  • Secure vendor services and submit necessary documents, contracts, and payment processing
  • Utilize fundraising platforms, editing and updating data as needed, schedule participation, and prepare basic reports to inform progress of events.
  • Assist fundraising participants with platform registration and use, answering participant questions and providing platform troubleshooting as needed.
  • Prepare day of event supplies, scheduling transportation and setup of event
  • Coordinate event volunteers as guided by DMCE, utilizing corporate and community partners, scheduling shifts, training and communicating needs and expectations.

Marketing Assistance:

As directed by the Marketing and Corporate Engagement Director:

  • Update website to include new events and messaging
  • Schedule and post social media messaging
  • Provide reports on social media engagement
  • Maintain quality control of BBBSSA branding and branded materials.
  • Maintain stock of recruitment and event brochures and collateral
  • “table” community events, providing public with information about volunteering and donating to BBBSSA
  • Provide reports on engagement, volunteer inquiries, social media activities on a monthly basis

JOB QUALIFICATIONS

  • Education Level: High school diploma required
  • Years of Related Work Experience: A minimum of 2 years as event coordinator or assistant
  • Experience in community organizing, events, and/or sales is preferred.
  • Language Bi-lingual (Spanish and English) a plus
  • Key Qualities: can do attitude

SKILLS AND KNOWLEDGE NEEDED

  • Proficient in MS Office Suites
  • Knowledge of and active participant on social media such as Facebook, Instagram, Twitter, LinkedIn and TikTok
  • Familiarity of website and fundraising platforms preferred (coding not required)
  • Excellent writing skills
  • Strong customer service skills, with ability to establish, maintain, and foster positive and effective working relationships
  • Ability to work collaboratively with minimal supervision
  • Strong work ethic, professional and integrity
  • Positive can-do attitude and enthusiasm
