Duties & Responsibilities:
Under minimal supervision, provide on-site business management support for the United States Navy (USN) Test Pilot School (TPS). Support includes: military personnel administration, the coordination of training events; procurement and inventory management of USNTPS operating materials and supplies; physical and personnel security administration; office management; and travel coordination.
Specific duties are as follows:
- Military Personnel Administration Support: Maintain Military personnel records using the Navy Standard Integrated Personnel System (NSIPS). Coordinate requirements and provide customer support for military personnel actions. Serve as the primary customer service link between command members and the supporting Personnel Support Detachment (PSD). Ensure all documents and information required to provide command Pay/Personnel and Transportation support are relayed to the appropriate (PSD) via Transaction Online Processing System (TOPS) and are in accordance with applicable policies governing accuracy and timeliness standards.
- Training Coordination: Support USNTPS training events including long and short-term course planning, logistics, and execution. Support Chief Academic Instructor in configuration and library management of course materials. Use the USNTPS engraving machine to engrave all awards plaques, staff office nameplates, and student directory nameplates. Maintain phone rosters, recall data, student summaries and social rosters.
- Procurement and Inventory Management: Process procurement packages and perform inventory management for the USNTPS in support of daily operations and special events. Coordinate requirements, procurement, sales, and inventory management of TPS Merchandise in support of special events.
- Facility Security: Implement, coordinate, and oversee the USNTPS protective facility security measures. Greet and direct all visitors to the USNTPS facility.
- Personnel Security: Support the USNTPS Security Manager in maintaining security requirements for USNTPS staff and students. Verify staff and student clearance level and determine eligibility to access Classified Information up to Top Secret using the Defense Information System for Security (DISS). Manage/Input visitors into the Base Access Security Information Control System (BASICS II) which allows individuals access to come aboard the base.
- Office Management: Support daily USNTPS office operations. Compose military correspondence, including but not limited to memos, letters, notices, and endorsements. Assign Standard Subject Identification Code (SSIC), format, review, smooth and route for Commanding Officer (CO) signature. Maintain document configuration control.
- Travel Coordination: Support USNTPS travel processing for students and staff using the Defense Travel System (DTS). Review all Navy Permanent Change of Station (PCS) orders received via Command and Control Official Information Exchange (C2OIX). Review for accuracy and entitlements. Contact member to adjudicate discrepancies.
- At least four (4) years of general clerical experience.
- Experience with Microsoft Office Tools or two (2) years of government or military experience in clerical functions.
- Experience processing various correspondences, (e.g. memos, travel letters, retirement paperwork, letters of appreciation, endorsement letters, mishap letters etc.)
- High School Diploma/GED.
In addition, U.S Citizenship is required. Applicants selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information and be able to obtain a DoD government-granted security clearance. Individuals may also be subject to a background investigation to include but not limited to criminal history, employment and education verification, drug testing, and creditworthiness.
