Position Summary

Under the supervision of the Distribution Manager, the mailroom clerk is responsible for the timely and accurate sorting and distribution of the incoming and outgoing mail. The mailroom clerk will also meter all outgoing mail and prepare all mail that is certified.


Essential Duties and Responsibilities

  • Ensure timely movement of internal mail by sorting mail into appropriate mail slots.


  • Sorts though all incoming mail for checks and delivers to Business Office.


  • Return incorrectly addressed mail to the post office.


  • Inspects incoming mail for sensitive correspondence and forwards to the appropriate person immediately.
    Recognizes what can be opened and what needs to be forwarded unopened.


  • Delivers and picks up mail daily from various buildings throughout the Practice.


  • Operates and maintains a variety of mail processing machinery and related office equipment. Call for service when needed. Reports any equipment issues to manager.


  • Meter all outgoing mail. Handles all certified mail incoming and outgoing. Track certified mail numbers.


  • Works with Manager to ensure that all areas of responsibility are maintained in a clean, safe and orderly manner. Maintains mailroom supply inventory notifying purchasing when items are needed.

Qualifications

  • Experience in mail sorting processes preferred.


  • Experience in receiving and distribution preferred.


  • Ability to perform routine, repetitive tasks on a continuous basis despite frequent interruptions.


  • Ability to follow oral and written instructions.


  • Valid driver's license and clean driving record.

Physical Requirements

  • Must be able to lift heavy packages of up to 75 pounds.


  • Ability to communicate with all levels of staff.


  • Ability to maintain assigned areas by using a variety of equipment and cleaning materials.


  • Ability to transport equipment and supplies of various sizes and weights throughout the Practice.



Working Environment

  • Usual office environment


  • Work area may be noisy and stressful.


  • There may be exposure to hazardous waste materials.


  • There will be the usual walking, use of elevator and stairs

Responds in a prompt and friendly manner to requests and inquiries. Respects confidentiality and is HIPAA compliant in all aspects of communication regarding patients, employees and the organization. Utilizes C.L.E.A.R. and H.E.A.R.T.
  • Computer Literacy- Uses computers and software relevant to position effectively and efficiently in the working environment.
  • Customer/Patient Focus- Knows the customer (internal and external) business needs and acts accordingly. Provides consistent, quality service to all patients and customers.
