General Purpose:

Responsible for providing financial support within the transportation department. This position requires proficient and advanced skills utilizing SAP to facilitate accurate and timely payments to all contract haulers within the Northeast Fluid Area. Provide flexibility and willingness to adopt and implement new processes that continuously improve the hauler payment process. As an integral member of the transportation and operations department, collaborating with dispatch, marketing, and other departments to understand their needs and provide solutions that are cost and time efficient.


Duties and Responsibilities:

  • Responsible for providing daily support of the hauler payments system and facilitating payments twice a month to contract haulers for services provided to DFA, which includes but is not limited to maintaining sensitive financial information: assignments, W9s, direct deposits, and personal data. Maintain hauling codes to ensure accurate payment of contract haulers.
  • Responsible for processing hauler payroll related system changes in hauling rates, producer alignments, and customer ship-to and bill-to locations.
  • Communicate with contract haulers to respond to questions and initiate issue resolution.
  • Develop, enhance, and/or provide management reporting of hauler payroll trends, benchmarks, and key factors.
  • Provide basic financial analysis regarding the hauling financial condition of specific geographic territories, haulers, producers, or customers.
  • Audit accounts payable invoices and initiate accounts receivable invoicing to customers where appropriate to reimburse DFA for additional hauling, waiting time, trailer washes, etc. Coordinate with the billing and accounting departments to generate invoicing and payments on a monthly basis for multiple scenarios. This requires a synergistic view of the business and knowledge of milk movements.
  • Provide support to DFA staff in establishing hauling rates, hauling realignments, rate proposals, and hauling contract implementation.
  • Ensure the accurate payment of fuel by processing correct fuel surcharge information. Review preliminary fuel surcharge reports prior to hauler payments being finalized.
  • Calculate transportation costs for scenarios that cannot be processed through the normal payment process.
  • Responsible for setting up new contract haulers and communicating changes. Maintain and verify master data for all contract haulers that are utilized for both raw milk and transport work within the DFA Northeast area. Update and centralize insurance documents, tax forms and contracts.
  • Collaborate with producer payments and balancing on a regular basis to resolve issues and complete requests regarding stop charges, rejects, variances, etc.
  • Collaborate with other departments and business units on other projects.
  • Inform and communicate changes within the hauling community on a quarterly basis through the Hauler Connect Newsletter.
  • Assemble rejected load paperwork, initiate document changes, and collaborate with customers, outside cooperatives, Dairy One, and other departments to share rejected load information on a regular basis.
  • Support innovation by brainstorming and testing system and process enhancements for both Hauler Master Data and Hauler payments.
  • Assist auditors from government agencies on hauling payments.
    Review and approve hauler annual statements for tax purposes.
  • Demonstrate proficiency in Microsoft PowerPoint by compiling data and preparing information for presentations on a monthly basis, additionally maintaining fuel cost forecast graphs.
  • Participate monthly in the milk pooling process to ensure pooling overrides and qualifying is completed successfully. Calculate transportation costs associated with these qualifying milk movements.

Requirements:

Required Minimum Qualifications

  • Bachelor's degree in Business Administration or relevant degree/experience.
  • 5+ years of accounting and transportation experience.
  • Master's Degree a plus

Necessary Knowledge, Skills and Abilities

  • Proficient in Microsoft Excel, Word, PowerPoint, Access, and SAP.
  • Knowledge of the dairy industry as it relates to transportation.
  • Strong communication, critical thinking, and analytical skills.
  • Ability to work with a strong degree of accuracy and good attention to detail.
  • Experience in financial reporting.
  • Strong collaboration skills that effectively forge relationships with our contract haulers and foster teamwork among multiple departments.
  • Exceptional time management skills to ensure deadlines are met.
  • Able to read, write, and speak English
