The minimum requirements we seek:

  • High School Graduate or equivalent
  • 3+ years’ experience as an executive assistant supporting senior leader(s)

Our preferred requirements:

As the Lincoln NA Executive Coordinator, you will be responsible for:

  • Knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.) records management systems, and other business procedures and terminology)
  • Excellent organizational skills, time management skills and attention to detail, to include anticipating needs and being proactive
  • Excellent writing, editing, and proofreading skills
  • Displays high degree of professionalism in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication
  • Ability to work collegially and collaboratively within a team environment
  • Ability to work in a fast-paced global environment (we work closely with Canada, Mexico, the Middle East and China)
  • This role requires an individual who is flexible, resilient, uses good judgment, has the courage to challenge the status quo, and is always looking for ways to better the business. We are looking for someone who is self-motivated, adapts to change with a positive attitude, a quick learner, and has the confidence to ask for help when needed.

  • Manage email and daily schedules / calendars, resolving conflicts in a timely and efficient manner
  • Organize and book international/domestic travel including air travel, ground transportation, hotels, visa/passport requirements; Complete travel Expense Reports for all reimbursable expenses in line with corporate policy and reconcile / process TERs for corporate credit card and FAB card expenses
  • Facilitate the development with each department lead to create and administer department budget
  • Facilitate meeting agendas, confirm invitees for team meetings including weekly OCM, SAR and Operations Meetings
  • Support meeting preparation through the consolidation and organization of meeting materials.
  • Lead monthly development and execution (including agenda and presentation) of the Lincoln Linc Up Team Meeting
  • Lead coordination and topic development for monthly Lincoln Equality Team Meeting
  • Support Lincoln Concierge to resolve client inquiries, complaints, requests, etc.
  • Process Ford and Lincoln network development department ELMS dealer payment requests and CCAPS check distribution requests (SME for those systems)
  • NA Lincoln Business Office owner / lead for: department governance, distribution lists, org charts, SharePoint sites, personal announcements, bulk mail lists, ad-hoc requests, etc..
  • Lead annual control testing campaign for Lincoln, including MCRP/GRC (Governance Risk Compliance) and other tasks
  • Maintain the highest level of confidentiality and manage sensitive information with extreme care
  • Backup Executive Administrative Assistant for Lincoln President
