Lease Processing Administrator - Central Management Job at Indio Management

Position Summary:

Performs the administrative functions of the Central Management Team assuring a high level of professionalism in property issues, including timely response to and resolution of any tenant requests or concerns related to expediting the execution of lease files.

Required Qualifications:

  • High School Diploma/ GED Equivalent required; Bachelor’s Degree preferred
  • 1+ year of experience in customer service related position required
  • Previous apartment management / real estate experience highly preferred
  • Must have the ability to work a flexible schedule including evenings and weekends as needed.

Essential Job Functions:

  • Provide full administrative support, including front desk coverage, phone and leasing support, typing reports, filing and distribution of correspondence
  • Assist in lease administration activities, including creating leases, collecting tenant contacts and insurance information, verifying income and identification of applicants, generate reports, etc.
  • Assist in bidding process and assist Community Manager(s) in their efforts to ensure compliance with Indio’s policies and procedures
  • View and process all pending applications in ResMan. Ensure all applications have been filled out completely with all required information on the application.
  • Create a lease file checklist to ensure consistency and completeness with Indio policies as well as ensuring collection of all application and move-in fees when required (EX. Admin fees, deposits, and prorated rents).
  • Ensure prompt and accurate completion of lease application for timely processing and close out
  • Track and file contracts and insurance certificates; maintain follow-up system for expirations
  • Maintain and program KABA and gate keys and remote systems
  • Maintain lease and contract files, as well as other files located within the property management office
  • Promote and foster positive relationships with tenants and clients and track service calls as required
  • Collect and process move-in documents(renter insurance, electric, pet, etc. information)
  • The Lease Processing Associate will follow up with prospective tenants to schedule showings, generate applications and execute closed leases.
  • Analyze applicant information and supporting documentation provided by prospective renters efficiently and accurately in accordance with our due diligence policies to approve or deny lease applications.
  • Understand and communicate all current company concessions and promotions to entice applicants to lease apartments through company.
  • Proactively follow up on all leasing applications to assist leasing agents
  • Provide exceptional customer service when answering inquiries from prospective renters
  • Assist prospective tenants through self-guided apartment tours and ensure alignment of viewed apartments with prospective tenants’ needs.
  • Maintain consistent awareness of company's available apartment inventory to provide alternative leasing options to prospective tenants.
  • Identify and overcome possible hurdles and client objections
  • Use third-party CRMs and Company’s technologies to track prospective tenants’ status through the sales funnel.
  • Maintain clear cross channel communication across both internal teams and prospective tenant facing channels at a high volume and pace.
  • Calculate and process rent payments and other payments related to real estate transactions.
