About this Opportunity:
As a member of the Land Development team, you will play a key role in validating and maintaining the integrity of our system’s land development data. You will work with other team members to research and gather information needed to establish accurate land development budgets, contracts, schedules, draws, and optimized purchasing data. This effort will involve refining current processes and procedures and the implementation of new methodologies to support the company’s growth.

Key Responsibilities - General Role Duties:

  • Participate in meetings and coordinate with staff to develop, implement, and refine efficient operational procedures and processes
  • Keep accurate meeting notes and file in appropriate community files
  • Assist with the creation of standard status, forecast, and performance reports
  • Assist in the resolution of open work orders and variance purchase orders on current and/or completed activities
  • Manage vendor, contractor, and subcontractor data and information including bidders lists, proposals, bid spread comparisons, contracts, bid spreads, contract files, schedule A's, change orders, cut sheets, and all other Land Development contract documents
  • Assist in preparing, organizing, and proper filing of timely land development budget estimates for customer projects identified through the Land Development team
  • Participate in the tracking of specifications for equipment, products, or substitute materials
  • Maintain a library of standard Land Development building productsAssist with creating bid packages
  • Follow-up with trades to assure timely return of bids
  • Issue and track contracts via DocuSign Review Land Development proposals for accuracy and completeness
  • Assist with updating all current plan sets and reports in the specific community filesUtilize the Mosaic’s Regional Plan Manager for assistance with tracking plans for the "most current copies" of plan sets
  • Participate in the value engineering process along with development trades and assist with keeping detailed notes
  • Prepare and process RFI/change orders for additional work
  • Assist in preparing month end draw requests and assure all required Information Is gathered
  • Organize multiple projects information for optimal workflow and efficiencies
  • Establish standard file organization for all communities
  • Maintain a current "Scopes of Work" library
  • Assist with creating builder specifications and documentation for scopes of work for requested builder clients
  • Maintain a file of all standard Land Development department forms and formats inclusive of contracts, change orders, schedules, RFI, etc.
  • Ensure that all of the information on the builder portal is accurate and up to date
  • Assist in standardizing all documents for the Land Development bid and contracting process; including the creation of a "bid" and "contracting" checklist that includes all required components of each process
  • Promote internal communication between land development, purchasing, and constructionIt is imperative that the Land Development Project Engineer becomes familiar with some of the key metrics for scheduling, to include but not be limited to: grading, wet utilities, dry utilities, concrete curbing, utility testing, paving, amenities and Land Development overall cycle time (projected vs. actual)

Key Responsibilities - Purchasing:

  • Track and properly file all bid estimates
  • Track and properly file all bidding communications between the owner and Mosaic
  • Assure the prompt completion of all Docusign documents and proper filing of docs
  • Create and maintain a tracker for purchase orders, work orders, and variance purchase orders
  • Track all administrative items within the Land Development department
  • Proactively using new technologies to monitor performance and measure progress

Key Responsibilities - Reporting:

  • Weekly Land Development community updates
  • Land Development schedule updates
  • Land Development budget updates to include General Conditions and Land Development cost
  • Contracting status of each community (% complete & # of open items)
  • Bond tracker and bond exoneration
  • QC program and checklists

Preferred Qualifications:

  • 5+ years of related land development construction experience required (within the greater Phoenix region preferred)
  • Strong reputation, relationships with local trades and subcontractors
  • Experience managing land development construction from clear & grub to final turnover to the municipality
  • Knowledge of land development unit costing and current market pricing a plusFluency working in Excel/Google Sheets
