HR ASSISTANT / SHARED SERVICES GRADE 10

NON-BARGAINING UNIT NON-EXEMPT

BASIC FUNCTION

Primary duties will include system maintenance, data entry, maintaining electronic personnel files and providing administrative support to the department. Serve as first point of contract for faculty, staff, and students and as such will answer questions related to benefits, payroll, and other HR-related information on a daily basis.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Data entry for new and/or terminating employees, changes to employee records.
  • Act as first line of inquiry and refer questions to other sources as needed. Respond and route HR Helpdesk tickets appropriately.
  • Prepare reports and send routine letters and other benefits information as requested or needed.
  • Provide accurate and up-to-date information related to benefits, policies and collective bargaining unit agreements to current VSC employees and retirees.
  • Perform verifications of employment and other verifications for all VSC employees.
  • Provide benefits support for VSC employees and retirees.
  • Maintain relationships with vendors and carriers to resolve employee issues and to provide carriers with census information when needed.
  • Familiarity with the preparation of check requests for general invoice and insurance payments.
  • Assist Benefits Manager with benefits training for all VSC employees and retirees.
  • Review entries for accuracy during payroll processing for all VSC employees.
  • Coordinate, initiate, prepare, process, and/or monitor a variety of forms, records, schedules, and other documents, ensuring timely and accurate completion.
  • Plan and prepare a variety of regular and special reports involving background research, compiling and analysis of data from a variety of sources.
  • Maintain various written documents related to assigned functions, such as procedure manuals and respond to requests for information from internal and external constituents.
  • Assist with other duties, as assigned.

SUPERVISION RECEIVED

Direct supervision is received from the Benefits Manager. HR Assistant will assist the Benefits Manager, the HRIS Manager and the Leave Benefits and Compliance Training Coordinator when needed.

MINIMUM QUALIFICATIONS

Bachelor’s degree in an appropriate discipline plus 1 – 3 years of relevant experience, or a combination of education and experience from which comparable knowledge and skills are acquired. Previous experience in organizing and maintaining moderately complex electronic filing and recordkeeping systems, including strong experience with computerized information systems, including spreadsheets.

Location: This position is based in Montpellier, VT, but is primarily remote. The ability to occasionally perform work in our Montpelier office (1-4 times per month) is necessary.
