POSITION SUMMARY

The Human Resources Assistant is responsible for providing an excellent experience to new employees through the on-boarding and background check processes. Manage personnel records with impeccable accuracy. Serve as a resource and referral for managers with hiring related questions to enable them to move effectively through the hiring process. Communicate accurate information regarding Human Resource processes. Assist with human resources projects as needed.

ESSENTIAL FUNCTIONS

DUTIES
  • Employee Records
    • Manage employee records via paper forms and electronic (HCMS) to ensure accurate and timely completion of employee information.
    • Manage terminated employee and HR archive files and annual purge in accordance with CRISTA’s document retention policy.
    • Manage Commuter Trip Reduction Program (CTR) to ensure program tracking is accurate, timely, and in compliance with state guidelines.
    • Provide employment verification as requested.
  • Background Check Process
    • Efficient and timely collection and processing of new hire criminal background checks (WSP, DSHS, Trak- 1).
    • Effectively and efficiently coordinate and administer the licensed facilities’ biennial background check renewal and records results to database.
    • Run monthly Streamline Verify checks.
  • On-Boarding
    • Create a welcoming experience for all new hires.
    • Process new hires and new hire paperwork in Paycom for processing.
    • Ensure eligibility to work based on review of acceptable I-9 documentation and complete criminal background checks.
    • Create digital employee files in a complete and timely manner.
    • Ensure that the on-boarding office and work area are well organized and free of clutter.
    • Coordinate scheduling for new employee orientation.
    • Conduct new employee orientation
  • Audits
    • Ensure compliance with CRISTA’s Record Retention Policy.
    • Responsible for annual audits of I-9 paperwork and criminal background check reports.
    • Conduct annual purge of terminated employee files.
    • Responsible for ensuring that other HR staff effectively organize and purge their archived files in accordance with the retention schedule.
  • Administrative Support
    • Coordinate with Recruiting Specialist on open positions and provide managers with open requisitions qualified applicants.
    • Provide backup administrative support to other HR representatives, i.e. Paycom functions, etc.
    • Coordinate annual service awards program, tracking of award dates and ordering gifts.
  • Work collaboratively with supervisor, coworkers and customers.
  • Perform other duties as needed or assigned.

ESSENTIAL QUALIFICATIONS

EDUCATION

  • Associate degree from an accredited college or university recognized by the United States Department of Education or equivalent. Relevant work experience may be substituted for education on a year-for-year basis.

EXPERIENCE

  • Two years’ experience with administrative support, customer service, or similar professional office experience.

SOFTWARE / EQUIPMENT KNOWLEDGE

  • Proficiency with Microsoft Outlook, Excel and Word.

  • Able to work collaboratively with supervisor, coworkers and customers.
  • Professional, friendly and welcoming demeanor.
  • Excellent oral and written communication skills and highly organized and effective at prioritizing and multi-tasking.

  • Able to navigate stairs in buildings without elevators.
