The Intrepid Museum is currently seeking part-time Group Programs Associate to provide provides customer service and administrative assistance at the Group Sales entry in the Welcome Center. The Group Programs Associate also implements Group Sales programming as needed. The Group Programs Associate provides a high level of customer service through comprehensive product knowledge and efficient guest relations.

Responsibilities include but are not limited to:
Welcome Center Coordination

  • Operates the Group Sales Welcome Center desk during busy entry times and collaborates with the Group Programs Manager and Education Projects Manager to ensure it is fully staffed every day.
  • Prints tickets for all incoming Group Sales groups and prepares their welcome materials.
  • Updates signage in the Welcome Center or Information Desk pertaining to Group Sales entry.
  • Ensures the Group Sales entry area is clean and organized presenting the Museum in the best possible first impression.
  • Coordinates with Museum Services and Protective Services to ensure staff is placed in key areas based upon the group entry volume each day.
  • Manages the daily assignment of “meeting areas” on the pier for arriving groups.
  • Attends the morning meeting for Museum Services (or designates someone to attend in your absence) to ensure coordination of Group Sales entry.

Departmental Programming

  • Assists with the completion of production notes for events and attend weekly staff meetings.
  • Maintains and reports the daily report of sales results for all internal programs.
  • Updates database and e-blast lists and acts as support for group sales office.
  • Prepares mailings and other materials as needed for the Group Sales staff.
  • Act as support staff for any and all group sales programs and program leaders.
  • Preps materials for Group Sales programs such as (but not limited to): Birthday Parties, Operation Slumber, Scout Days, Scavenger Hunts, Performances, etc.
  • Maintain office supplies for the Group Sales office and the Group Sales Welcome Center Entry area.
  • Conduct group museum tours during programming such as Birthday Parties and Operation Slumber.
  • Performs other Group Sales department duties as required.

Group Programs Associate

  • Greets and escorts group sales visitors including school and camp groups, performing groups, senior groups, tour groups, Education Department school groups and birthday party guests providing orientation and reiterating museum rules and regulations.
  • Assists performance groups with set-up logistics.
  • Participates in Operation Slumber, our sleep over program, by assisting with check in, tours, food service and sleeping over to aid with visitor needs.
  • Answers guest’s complaints & inquiries; offers solutions or direction to Group Programs Manager.
  • Operates ticketing system and ticket printing on paid orders.
  • Deliver daily group tickets to box office at start of each day.
  • Sets up and organizes assigned areas & Group Sales storage inventory closet/room as needed.
  • At times will act as point person for birthday parties. This will include but is not limited to coordinating, collecting fees, acting as liason between parents and vendors.

Qualified candidates will have a High school diploma or general education degree (GED) and/or 6 months or more of related customer service experience; or equivalent combination of education and experience. Ability to read and comprehend simple instructions, short correspondence, and memos and to effectively present information in one-on-one and small group situations to customers. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percent. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to work weekends (required), holidays, and other evenings/nights as necessary.
