We are seeking an administrative professional to join our team at the front desk. Medical office experience is NOT required. We are happy to train the right person.

We are a highly interactive, team-oriented office that values building relationships foremost: with the children and families we serve, with the community, and with each other. As an Office Administrator working at the front desk, you will be an extremely important part of our team. You will help our patients navigate their services from the first point of contact on the phone through discharge. You will be the person who serves as the foundation for our team to provide the best patient care possible.

Desired Experience and Attributes:

We are seeking a candidate who is comfortable speaking to people of all different backgrounds both in person and on the phone, is organized, flexible, and can multi-task and prioritize duties. Computer skills are highly valued, including the ability to create and work with spreadsheets, word templates and web applications. You should have a professional and engaging demeanor both in person and over the phone and want to be a part of a passionate team who enjoys engaging children and their families.

Responsibilities:

  • Answer phone calls and emails, schedule patients, track referrals, maintain waitlists, and return voicemail and email inquiries in a timely manner
  • Collect needed information and accurately enter patient data in EMR system prior to the start of the evaluation
  • Provide administrative support to clinic owner and staff to maximize efficiency and revenue for clinic
  • Effectively, efficiently, and proactively communicate with patients, supervisors, and coworkers
  • Maintain the cleanliness and appearance of workspace and office
  • Manage records and correspondence for the practice
  • Participate in weekly employee development meetings, mentor meetings and monthly staff meetings
  • Provide an exceptional waiting room environment that parents look forward to returning to
  • Other duties as directed by the clinic supervisor and assistance for therapists as needed

Skills:

  • Experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and time-management skills
  • Excellent knowledge of MS Office
  • Experience with children will be an advantage
  • High school diploma; BSc/BA preferred

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
