Job Purpose & Position Overview:
The purpose of this position is to function as a Floater responsible for day-to-day assistance in coverage of various departments throughout WCHS. The Floater will perform a variety of different job duties with the primary areas of focus being main telephone operator, patient access representative (PAR), screener (patient entrance), and administrative. The Floater position requires a flexible and adaptable person who has the qualifications and skills to perform a variety of different job duties, and can work under minimal supervision.
Specific Job Duties/Responsibilities:
Operator
- Answers and manages calls received through the attendant console utilizing the approved script and appropriate procedures.
- Operates the public address system using approved emergency and special codes to page and alert staff members.
- Receives and relays incoming, outgoing and interoffice messages for all staff members and visitors to the facility. Provides routine, authorized information (i.e. telephone and extension numbers, names, locations, and functions of staff members, clinic schedules, etc.) in response to callers.
- Receives visitors to the Administration and Human Resources Offices. Ascertains nature of visit and directs them to the proper office or takes messages if staff not available.
Patient Access Registration
- Assists in accomplishing the work of the department by receiving and relaying incoming/outgoing telephone, intercom, and electronic messages.
- Maintains appointments and clinic availability listing by use of the RPMS and Moonwalk scheduling package, reviews for completeness and accuracy of data and ensures signatures on all required documents.
- Interviews patients to obtain information to determine eligibility and initiate a new health record and/or reactivate a retired record. Collect and verify third party eligibility coverage. Prepare charts and assist with monthly reports to Supervisor as requested. Maintains patient confidentiality at all times.
- The Patient Access Representative must be proficient in accessing the correct medical record number on each patient to avoid creating duplicate medical record numbers. Accuracy of data entry is of utmost importance.
- Works closely with Patient Benefits Coordinators in the identification of patients who may be eligible for third party resources.
Screener
- Greets visitors and welcomes patients.
- Screen all patients and visitors according to facility-established guidelines; utilizes established screening methods as appropriate to the given situation. This may include verbal screening and/or taking the patient or visitor’s temperature.
- Monitor patients and other individuals entering the facility or driving up to the patient entrance and surrounding patient areas; reports any concerns promptly to nursing or hospital staff.
- Demonstrates a willingness and ability to assist patients and visitors; monitors and responds to emergencies on an as needed, priority or as instructed by the patient care staff.
- Maintain a physical presence at assigned screening station and access points.
Administrative
- Provide clerical support to assigned location by performing a wide variety of administrative and clerical duties including but not limited to typing, filing, scanning, data entry, incoming/outgoing mail, and meeting/event assistance.
Required Qualifications/ Skills:
- High School Diploma or G.E.D is required; Associates Degree preferred.
- Minimum of 3 years front office experience in a physician, hospital, or health office setting preferred.
- Specific Medical Office receptionist experience preferred.
- Must be an excellent communicator and able to convey excellent and outstanding customer service at all times.
- Must be detail-oriented, a fast learner, and able to multi-task and escalate concerns as needed.
- Proficient in Microsoft Word, Excel, and Outlook required
- Typing speed of 40 wpm management software preferred
Physical Requirements:
- Normal to light office work which includes the ability to lift up to 10 lbs.
- Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.
- While performing daily duties, the employee is regularly required to talk and hear.
Cognitive Requirements:
- Reading, writing, calculating

- Works with minimal to no supervision
Language Requirements:
- Must possess the ability to read, write, and speak the English language fluently.
- Must be able to continually and effectively employ professional verbal and written communications skills.
Certificates, Licenses & Registrations:
All applicants will comply with 45 CFR 1301, Subpart D, Section 1301.31, C and D, which require all prospective employees to sign a declaration prior to employment regarding all arrests and convictions of child abuse or violent felonies and to comply with PL 101-630 and PL 101-637 regarding criminal records check.
