Finance and Human Resource Assistant - Cobleskill, NY Job at Cornell University
This position will serve as the Finance and Human Resource Assistant for Cornell Cooperative Extension Association of Schoharie and Otsego Counties. Under the direct supervision of the Finance and Human Resource Manager, this individual provides broad administrative and technical support for finance, human resources, information technologies and business operations.
Accuracy and attention to detail are essential to the position while handling multiple tasks under changing priorities, situations, and demands. The Finance & HR Assistant will work closely with both administrative and program staff to ensure proper financial accounting procedures are followed. The individual will assist with grant/contract development and implementation, and fundraising projects. This position is required to use automated systems and be familiar with software to accomplish job functions.
The individual should be knowledgeable in human resource policies, procedures and regulations, to allow for delegation of human resource related tasks.
The individual troubleshoots routine office IT concerns and works with the Supervisor and SBN’s IT Lead to resolve more complex issues. The individual maintains inventory management & controls for all Association assets. The individual also assists the Executive Director in Records Management & Compliance for all current and historical records which require the storage, retention, and destruction of records according to state regulations and Cornell FORM Code 1705 (Records Retention Policy.)
In addition to providing general administrative support, the individual serves as office receptionist at the Association’s Cobleskill, New York, office, and works cooperatively with all staff to ensure a welcoming environment. The individual serves as primary contact for building tenants and meeting room guests, as well as addressing the custodial needs of the Extension Center with the Custodian.

Required Qualifications:

High School Diploma or GED.

Two years of experience relevant to the role of the position.

Must have an Intermediate Level Competency utilizing the software necessary for performing work responsibilities: Windows, Microsoft Office and Adobe Suite. Should have a familiarity with other survey and communication tools such as Qualtrics and Lyris, ERP systems such as Acumatica and using utility software.

Must be detail oriented with strong attention to detail and accuracy.

Proficiency with numbers and general math in order to maintain accurate, error-free financial records.

Ability to operate office equipment such as computer, calculator, fax, printers, laminators, shredder.

Preferred Qualifications:

Position Responsibilities & Essential Functions
Administrative Direction - 5%
-
Assist with planning for and developing grants/contracts utilizing the Executive Director and Supervisor for high-level guidance and recommendations as needed.
Administrative Management - 5%
-
Work under direction of Supervisor to ensure that staff in both Association offices use best practices in records management & compliance and inventory management & controls.
Administrative Coordination/Operation - 85%
Finance
-
Process administrative expense vouchers and review program expense vouchers insuring that all expenses are correctly charted to proper accounts.

Prepare invoices and required billings documents for funds owed to the Association for supplies, services, leased spaces, and contracts.
-
Serve as office cashier. Record cash receipt assuring proper documentation is maintained and deliver bank deposits.
-
Responsible for accurate and timely posting of accounts receivable and payable in accounting system.
-
Perform scheduled tasks updating programming financial and grant reports as assigned.
-
Provide support to the Executive Director with fundraising efforts including, but not limited to: researching grants and contract opportunities, researching prospective donors, preparing mailings, mass media and online platforms efforts, coordinating fundraising events, etc.
Administrative and HR
-
Serve as office receptionist, demonstrating courtesy to all office visitors, colleagues, and callers. Is diplomatic and welcoming.
-
Provide administrative support including, but not limited to: answering and directing telephone and email communications, general correspondence, preparing for Association meetings (e.g., agendas, meeting minutes), filing, document printing, scanning & copying, support for technology needs, etc.
-
Process and distribute mail and anticipate the need for regular mail and bulk mailing supplies such as postage, envelopes, labels, etc.
-
Maintain and purchase office supply inventory as needed.
-
Assist with support for the coordination and implementation of web based and multi-media efforts in the promotion of programming.
-
Accurately input and maintain various Association e-lists for communications.
-
Assist with drafting press releases, flyers, brochures, and newsletters for eventual distribution as appropriate.
-
Coordinate new hire paperwork.
-
Maintain volunteer records following approved guidelines.
-
Conduct staff and volunteer background checks and motor vehicle record checks accurately.
-
Maintain and coordinate physical inventory records, operating manuals, etc., for all Association assets.
-
Maintain office equipment in clean working order, utilizing service agreements as applicable.
-
Assist SBN IT Lead and reach out as needed for information technology troubleshooting and support.
-
Maintain records of certificates of insurance from clients and vendors and follows established procedures for meeting room use by external organizations.
-
Provide support for the Executive Director with Records Management & Compliance procedures.
-
Serve as primary contact for building tenants and meeting room guests, as well as assisting with the custodial needs of the Extension Center.
-
Take initiative to keep supervisor and Executive Director apprised of all issue and concerns relating to areas of responsibility.

Maintain strict confidentiality of all financial and personnel records at all times.
-
Effectively maintain existing professional relationships with other agencies, organizations and businesses that promote effective communication and facilitate continued programming efforts.

In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

Position Details
This is a full-time, benefits eligible, non-exempt position. 37.5 hrs./week with an annual salary of $31,200 - $35,100.
Position is located at the CCE Schoharie County office in Cobleskill, NY .
