You’ve done this before-support a C-level executive and his team-and you’ve got the administrative, writing, interpersonal, time management and problem solving skills required. You also exude a calm and professional demeanor and understand the juggling involved when supporting a busy executive.

Responsibilities:
  • Complete a broad variety of administrative tasks including: designing and producing complex documents and presentations; drafting reports; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements and competing expense reports, and sophisticated calendar management.
  • Provide ‘gatekeeper’ and ‘gateway’ role, providing a bridge for smooth communication between Executive Director and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
  • Work closely with Executive Director to keep him well informed of upcoming commitments and responsibilities, following up as appropriate. Anticipate Executive Director’s needs in advance of meetings, calls, etc.
  • Act as a liaison and provide support to the Commission. Arrange and handle all logistics for Commission meetings and events: schedule meetings; post meeting notices to public and participants; draft agendas; develop, compile, and distribute presentation materials; and record and transcribe meeting minutes.
  • Management Liaison: Participate as an adjunct member of the Executive Team, including scheduling and coordinating Executive Team meetings and other staff meetings and events as required. Communicates with staff on behalf of the Executive Director and represents the Executive Director in designated meetings as required.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Director and the Commission, including those of a highly confidential or critical nature.
  • Provide administrative support for other key executives on executive director’s team.

Requirements:
  • Bachelor’s degree
  • Significant executive support experience, including supporting C-level executives.
  • Exceptional organizational skills and impeccable attention to detail.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Strong interpersonal skills and ability to demonstrate a high degree of professionalism in dealing with diverse groups of people, including Commission members, senior executives, staff, and external business partners and constituents, including senior government officials.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Excellent time management and problem-solving skills.
  • Ability to react with appropriate level of urgency to situations and event that require quick response.
  • Expert proficiency with Microsoft Office, including MS Word, Excel and PowerPoint.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Excellent writing, editing, grammatical, organizational, and research skills

Hiring Rate: $68,304 (this exempt position will be filled at or near the posted salary)
