Position Overview:
The Executive Assistant is responsible for providing the System Operations Services (AJR) Vice President and their staff with all necessary administrative support to ensure mission success. Your role is to provide high-level administrative support to the Vice President such as scheduling meetings and conferences; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings; scheduling and tracking travel and other administrative tasks as required.
Essential Duties and Responsibilities:

  • Support the Vice President as a point of contact between other executives and internal and external stakeholders
  • Greet guests and customers, in person or on the telephone, answering or directing inquiries, taking messages, and drafting answers to correspondence
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel with awareness of any potential conflicts or changes
  • Maintain and secure documents and filing system
  • Capture meeting minutes, create reports, presentations and briefings as required
  • Maintain office supplies inventory by checking stock to determine inventory level and anticipate needed supplies.

Requirements:
Education:

  • High School Diploma

Experience:

  • 20+ years of experience and knowledge providing general office automation, coordination, and administrative skills necessary for managing the routine administrative functions of a government office.

Skills:

  • Experience and knowledge utilizing MS Office products to include Teams and SharePoint
  • Ability to communicate with all levels of organization, verbally and in writing
  • Travel and meeting coordination
  • Excellent time management, multitasking, and prioritization
  • Ability to use judgment and confidentiality to support executive leadership
  • Reporting and presentation skills

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; use fingers and hands to type or write; reach with hands and arms; talk or hear; taste or smell.
