Position Summary
The Executive Assistant (EA) to the Executive Vice President for Human Resources and Chief Human Resources Officer (CHRO) is responsible for managing the office of the EVP and efficient use of the CHRO’s time through strategic calendar management, project coordination, and thorough understanding of the CHRO’s priorities. Reporting to the CHRO, the EA manages complex calendars, coordinates and/or leads projects and coordinates key communications with internal and external stakeholders.

The EA provides coordination for a variety of programs and initiatives led by the CHRO and may lead the coordination of large-scale initiatives, events, and projects as needed.

Job Responsibilities
- The candidate will be responsible for extensive scheduling and calendar management, note-taking, expenses, and domestic travel coordination including flights, hotels, accommodations.
- Effective management of complex and varying day-to-day schedules, using Outlook calendar.
- Learns and understands the CHRO’s priorities and manages requests accordingly to ensure effective use of their time.
- Coordinates a variety of meetings, events, or programs, which may comprise of managing logistics, scheduling and calendars, preparing and distributing meeting materials, taking meeting minutes, managing attendee lists, and coordinating room reservations and/or catering needs
- Builds and maintains professional, efficient, and knowledgeable interactions with both internal and external constituencies; creates a welcoming and hospitable environment for all who are meeting with the CHRO.
- Create regular reports and presentation on HR metrics using Microsoft Excel and PowerPoint.
- Ensure department communications are sent out accurately and timely.
- Review, track and manage department invoices in a timely fashion.
- Order department supplies as needed.
- Organize, plan and execute team events, holiday gifts, leadership meetings, planning sessions, and town halls, all within a timely manner.
- Simultaneously execute a wide range of activities and requests.
- Assist executive office as needed.
Qualifications:
Minimum 3 years working as an Executive Assistant preferably to a CHRO in a publicly traded company.- Ability to demonstrate initiative, flexibility, and a willingness to pitch-in as needed.
- Ability to maintain strict confidentiality and discretion at all times.
- Exemplary interpersonal skills. Must be able to communicate effectively with all levels of associates and with representatives outside of AutoNation.
- Ability to demonstrate a calm, courteous and professional demeanor under pressure when working with a variety of situations and/or people
- Demonstrated advanced proficiency with the Microsoft Office Suite of products, particularly PowerPoint and Excel.
- Working knowledge of Concur (preferable) or other travel/expenses systems.
- Demonstrated organizational skills with ability to prioritize workload and multi-task when needed.
- Confidence to follow up with team members/ executives and hold them accountable.
