You have a natural sense for managing, coordinating, and organizing that serve a greater purpose in implementing successful strategies throughout ongoing projects. As an Executive Assistant, you will manage and assume responsibility for the executives' agenda, effectively and proactively prioritizing on behalf of them in appropriate situations. You'll identify and manage the right priorities and processes to ensure your team members have what they need to seamlessly serve the needs of the clients.

Experience needed for this role.
- Experienced in general and executive-level administrative responsibilities; minimum of 5 years of administrative experience
- Minimum Bachelor’s degree preferred
- Proficient in the following software applications: BlueBeam and Deltek Vision
- Knowledge of architectural / engineering terminology a plus, though not required
- Experience coordinating complex travel arrangements and logistics (domestic and international)
What you'll own in your role.
- Function as a partner-to and extension-of the Interior Design Partner, in support of the business operations of the firm.
- Maintain complex calendars, scheduling all business and project related meetings to include logistics and coordination; Respond with urgency on behalf of leadership to requests in an effort to balance competing priorities of projects, offices and marketing deadlines.
- Coordinate all domestic and international travel arrangements, including flights, hotel, trains, car service and travel visas.
- Manage all incoming phone calls, taking thorough messages and disseminate information expeditiously; respond on behalf of leadership, to callers with questions or inquiries about firm business.
- Generate timely expense reports and timesheets.
- Handle Partner Licensing and track Continuing Education requirements.
- Collect receipts and distribute daily incoming mail and packages using excellent judgment in determining priority and urgency of information.
- Proof, edit, print and distribute correspondences related to the business operations of the firm; draft meeting notes, and presentation materials.
