POSITION SUMMARY
The Executive Assistant to the CEO provides operational and coordination support to the CEO, CFO and SVP of Human Resources. Additionally, this role is a working member of the Administrative Collaborative and will be part of a team of Project Generalists and Administrative Partners tasked with a wide range of financial and operational projects as well as administrative and support tasks. This position is hybrid and will be expected to be onsite three days per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Additional duties and responsibilities may be assigned, as necessary.
Administrative Support (60%):

Responsible for supporting the CEO, CFO and SVP, HR in all potential administrative facets

Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments, completing expense reports, composing and preparing confidential correspondence and arranging complex and detailed travel plans, itineraries, and agendas

Travel & Executive Support: Complete T&E reports. Handle travel arrangements. Create point to point itinerary. Maintain executive calendars.

Acts as a liaison between the CEO, company employees, and external sources to better facilitate communication with the office of the CEO.

Coordinate meeting and event activities (on-site and off-site meetings) including preparing agendas, coordinating meetings times, arranging travel, arranging conference rooms and catering.

Document and System Maintenance: Process PO’s – Issue, receive and reverse. Assist in the setup of new vendors including procuring W-9, ACH form and compliance packet sign-off for finance payment processing.

Ensure contracts and agreements are properly signed, scanned, saved digitally, and filed appropriately for the legal department.

Reporting, spreadsheet, presentation, and document creation: Running system reports in various internal systems such as Workday, JD Edwards, Salesforce, etc.

Collaborative use of various Microsoft Office 365 tools. Creating excel spreadsheet. Develop presentations in PowerPoint.

Sorting and distribution of mail. Support for shipping outgoing mail.
Project Support (40%):

Developing and maintaining project management schedules, work plans, and other general project management resources and tools.

Ensuring accurate and compliant record keeping; monitoring and leading any correction process required to ensure project documentation, deliverables and data are maintained consistently in accordance with policies and standards.

Conduct appropriate research for project background and collaborate with others to help communicate efforts.

Coordinate logistics and administrative aspects of project implementation

Facilitate collaboration across various departments and units.

Effectively communicate project expectations with internal and external stakeholders

Operate independently and in collaboration with others to ensure project success.

Drive deliverables per established timeline and scope to keep projects on schedule and to spec.

Education and Experience:
Bachelor’s Degree or Equivalent Work Experience
Specialized Skills and Experience:

Minimum of five years of experience supporting C-Suite Executives in a fast-paced business environment

Highly advanced user of MS Office products, specifically PowerPoint and Excel. Must be able to create impeccable and aesthetically pleasing PowerPoint presentations that will be viewed by employees, vendors, customers, and even our Board of Directors.

Comfortable working in a variety of different systems: Workday, Box, Smartsheet, Zoom, JD Edwards – understanding what each is used for and being able to switch between them as needed

Able to management multiple assignments and projects simultaneously with shifting priorities, deadlines, and focus.

Ability to interact well with upper management and influence decisions.

Strong analytical skills with the ability to troubleshoot problems and identify and implement solution.

Very organized in scheduling and executing responsibilities and prioritizing in a multitask environment
