JOB SUMMARY: The Executive Assistant is responsible for first impressions with customers, internal and external, all duties to support the efficient operations of the front desk and corporate building, along with supporting the Executive Leadership Team Manager in activities to support to the Executive team. The individual must demonstrate a willingness to provide an excellent experience, seizing opportunities to create raving fans with every interaction.


JOB DUTIES AND ESSENTIAL FUNCTIONS:
  • Company program oversite including:
    • Chaplaincy program administration including the interface with Corporate Chaplains of America and monitor the effectiveness of the program.
    • Co-lead the corporate events committee to organize engagement activities for the employees and their families.
    • Co-lead the Giving Back program including the management of the annual budget, development of community outreach strategies, alignment with charitable organizations, and executing service projects.
    • Administer the SHINE program in conjunction with the Tulsa Community Foundation as it relates to employee hardship assistance and scholarships for the employee's children.
    • Execute strategies to promote a positive work environment and maintain high morale.
  • Responsible for timely and accurate administrative functions supporting needs of company and customers, including:
    • Manage office supply inventory including ordering, stocking, invoice reconciliation, and purchase requisition processing.
    • Perform receptionist duties: answer phone, greet visitors, receive and sort incoming mail and deliveries, and manage outgoing mail.
    • Building event and meeting meal coordination, as needed.
    • Provide other administrative support as necessary, including scheduling group meetings, managing/maintaining calendars, arranging travel and accommodations, performing research, and creating/maintaining monthly Executive reports, financial reviews, scorecards, and other key performance indicators.
    • Manage services, reconcile invoices, and process purchase requisitions for building maintenance activities including lawn and landscaping, janitorial, pest control, window cleaning, etc.
    • Assists with event and training planning and scheduling.
    • Administrative support to the Executive Leadership Team Manager.
    • Source and manage building maintenance services, as needed.
    • Assists with special projects, as needed.

MINIMUM QUALIFICATIONS:
  • Excellent communication and interpersonal skills.
  • Exceptional attention to detail.
  • Ability to work with various levels of the organization.
  • Proven ability to maintain confidence and protect operations by keeping sensitive information confidential.
  • Computer skills are required including proficiency in Microsoft Office products.
  • Ability to meet deadlines, work in a fast-paced environment with interruptions, and prioritize duties.
  • High school diploma or equivalent.
  • Three or more years of Executive Administrative experience preferred.
