CB Administrative Management is a function within CB Business Support Management (BSM). The Executive Assistant (EA) role has multi-disciplined administrative accountabilities in support of senior leadership across one or more CB LOB's. This role can include managing calendars, travel, planning and assisting with local events and projects for the business and may support various activities such as managing tactical office needs, client tickets and compliance requirements such as expense management or Business travel tax. The role works in close partnership with key stakeholders in the business, events and sponsorship team, Office Management, etc. The following are the key areas of accountability:

Administrative Execution :
  • Manage calendars in a fast paced and dynamic environment, scheduling demanding internal and external meetings; adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering, etc.
  • Provide telephone coverage and support general end user inquiries
  • Offer guidance on firm policies such as T&E, Business Travel Tax, Patrol, etc.
  • Responsible for planning travel and processing expenses in accordance with the firm's travel and expense policies
  • Ensure superior client service at all times
  • Support local event planning and execution as needed
  • Provide general team support such as time keeping, training tracking, etc.
  • Maintain confidential data, enforce internal controls, and comply with policies and procedures
  • Assist in ad hoc projects as needed
  • Provide site support for local office requirements including assistance with new hire integration, facilities maintenance, supplies, floor access, etc.
  • Partner with local Admin colleagues to collaborate on in office schedules and phone coverage and share all in office responsibilities regardless of LOB to ensure Monday through Friday in office coverage for your worksite.
  • Provide simple reporting for the business such as pulling canned reports and scorecards
  • Process Catalyst activity within the scope of the role -account changes, contact maintenance, etc.
  • Support local projects and employee engagement activities such as team recognition, events, etc.

Required Qualifications:

The ideal candidate will possess the following:

  • 3+ years of administrative support experience
  • High school diploma
  • Exceptional communication skills- confident, organized, and clear. Can effectively interact with all organizational levels.
  • Intermediate fluency in Microsoft Office Suite
  • Able to effectively and proactively balance multiple high-priority requests concurrently, keeping all stakeholders updated of status
  • Able to work in a dynamic, fluid, fast-paced environment
  • Ability to be discrete and maintain confidentiality on a wide range of issues
  • Has solid judgment, decision making and problem solving skills.
  • Demonstrates self-motivation, personal leadership, is highly collaborative and team oriented
  • Demonstrates strong organizational skills and applies a disciplined and organized approach to their work
  • Adapts easily to process changes and learns new technologies quickly
  • Commitment to customer service and ability to work in team-oriented environment
  • Knowledge of travel industry a plus
