Background
Tulsa Remote is an initiative of the George Kaiser Family Foundation designed to enhance Tulsa's talented and successful workforce by bringing diverse, bright, and driven new individuals to the city. Participants in the Tulsa Remote program are integrated into the community through various collaborations and networking opportunities with the ultimate goal of retaining them in the Tulsa area for the long term. The Tulsa Remote program and community have experienced a high level of success and the program is rapidly expanding.


Position Summary
Events specialists are key members of the member experience team that assists in the planning and execution of all events that support the engagement of Tulsa Remote members in an effort to retain them as a resident beyond their 12 month commitment to Tulsa Remote. To be successful in this role, you must be highly innovative, collaborative, organized, and able to manage event projects, with a strong focus on execution, resulting in a high satisfaction from attendees. In this role, your ability to listen, engage, and connect with a diverse group of people is paramount. Tulsa Remote is expanding as an organization both internally and externally, therefore flexibility and a capacity to adapt to new processes is a must-have.


Essential Duties & Responsibilities

  • Fully understand the mission and values of Tulsa Remote to coordinate and execute diverse and inclusive events that are vibrant and provide opportunities for members to connect with one another and the local community.
  • Support in facilitating all aspects of event planning from selection, event registration, marketing, onsite staffing, pre-event coordination/rehearsal, and post-event reporting.
  • Collaborate closely with the member experience team and leadership for input on events requested by members and feedback from member interactions that support the development of programming.
  • Coordinate all setup and breakdown of events.
  • Manage attendee lists and promote events via Slack and other internal platforms to ensure maximum attendance.
  • Maintain an up-to-date list of preferred vendors, contacts, and other information associated with event planning within Salesforce.
  • Maintain timely, accurate, and up-to-date notes on events through Asana and members through Salesforce.
  • Engage daily within Slack database to share event updates, and answer member questions where relevant to the Tulsa Remote programming.
  • Build and maintain relationships with partner entities for co-sponsored events that support members including GKFF entities and 36DN Basecamp, Camp II, and Incubator.
  • Utilize satisfaction survey data to develop strategies for events leading to high attendance and higher satisfaction rates from members.
  • Coordinate marketing strategies for events in collaboration with the member experience and marketing teams.

Please note: Due to the necessary public health precautions put in place as a result of the COVID-19 pandemic, to work in person and attend in person meetings, all team members must follow Tulsa Remote, LLC. COVID safety precautions, which currently includes being fully vaccinated. Qualifications

Education & Experience

  • High School diploma or equivalent required. Advanced degree in related fields preferred.
  • 2-3 years of experience in event planning or related field
  • 2+ years of living and working in the Tulsa area, with demonstrated engagement in the community, knowledge about Tulsa history, and familiarity with a wide range of civic organizations, services, businesses, etc.

Work Environment

  • Hybrid work model. Working location based on events schedule.
  • Ability to work weekends, evenings, and non-traditional hours on occasion.
  • Ability to regularly lift up to 25 lbs
  • Local travel to various worksites is necessary. Reliable transportation which includes a personal vehicle which has the ability to transport small amounts of event supplies is essential. Valid driver’s license required.

This is an hourly, non-exempt position at $20.00 per hour.
