Essential Job Functions:
1. Assists with recruiting community organizations and homeowner associations to visit the Museum’s public/docent educational programs.
2. Greets community organizations, homeowner associations, student and adult private or public groups to the Museum.
3. Introduces the Museum’s educational programs to community organizations, homeowner associations, schools, general Museum’s visitors.
4. Responds to inquiries and resolves non-routine problems requiring broad understanding of work-area policies and procedures in a timely manner to ensure questions are answered and issues resolved.
5. Composes, edits, proofreads, and types complex documents; creates mail merges and performs mass mailings; photocopies and collates complex material to ensure timely communication and retention of documents.
6. Accepts group tour and reservation requests and input information into database and worksheets.
7. Assists in the creation of and modifying documents such as reports, letters, and presentations.
8. Coordinates with Event Manager to assist the Museum’s educational outreach programs.
9. Conducts gallery tours of current exhibitions.
10. Conducts research related to art education and art history for docent and public programs and guides.
11. Assists in the set up and coordinate meetings, presentations, events as requested.
12. Supports staff in assigned project-based work. Assist in special events, such as opening and other functions.
13. Prepares forms and documents; verifies for discrepancies and follows up to ensure accuracy.
14. Schedules meetings/appointments/events and coordinates travel to ensure timely scheduling.
15. Performs other duties as assigned by direct supervisor.

Marginal Job Functions:
1. Assists with other administrative functions.
2. Acts as a back-up to Executive Assistant of department.
3. Performs special projects as assigned.

Required Knowledge, Skills, & Abilities:
Knowledge/Skills/Abilities:
1. Proficient knowledge of MS Office, including Word, Excel, and Outlook; data entry skills; Internet research abilities.
2. Knowledge of office practices and procedures (e.g., filing, answering telephones, and supply/equipment ordering).
3. Ability to enter and verify information with accuracy.
4. Ability to understand and follow oral and written instructions.
5. Ability to maintain confidential information.
6. Strong administration skills – organized, thorough, systems orientated with meticulous attention to detail.
7. Proactive, punctual, and reliable.
8. Excellent written and oral communication skills.
9. Multi-lingual preferred.
10. Ability to work flexible hours.

Physical Requirements:
1. Near Vision - Must be able to see details at close range (within a few feet of the observer).
2. Speech Recognition - Must be able to identify and understand the speech of another person.
3. Speech Clarity - Must be able to speak clearly so others can understand you.
4. Travel - Must be able to travel on a daily and/or overnight basis.
5. May be required to work nights or weekends.
6. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
7. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and computer keyboards.

Required Education:
High School Diploma or equivalent

Major (if required):

Required Experience:
High School Diploma and three (3) years of administrative experience in an office environment, and/or coordinating a function within office.
-OR-
Associate's Degree and two (2) years of administrative experience in an office environment, and/or coordinating a function within office.
-OR-
Bachelor's Degree and (1) year of administrative experience in an office environment, and/or coordinating a function within office.

Preferred Qualifications:
Experience in a cultural or educational institution.
