The Donor Database Manager oversees the stewardship and front-line communication with our donors through customer service and analysis of donor databases. The Donor Database Manager is directly responsible for identifying and reengaging lapsed donors and ensuring donors receive the best customer service. This directly affects GCFB's ability to fund our programs and services, on which our clients rely.
SUMMARY
The Donor Database Manager leads efforts to input, manage, analyze and share data critical to the Philanthropy department of the Greater Cleveland Foodbank, resulting in exceptional customer service for supporters and staff of the Food Bank. In addition, the manager supervises the gift and acknowledgment processing team, overseeing the following areas: 1) maintenance of data accuracy and integrity in our donor database; 2) gift processing, reporting/analysis, and monthly financial reports; 3) gift acknowledgment and donor stewardship; 5) reporting to internal and external constituencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is not all-inclusive and other duties may be assigned.
- Oversee all gift entry efforts, hiring and training staff in data entry for cross-training and department-support purposes, as well as temporary employees on an as-needed basis. Assure sufficient resources are available to help with data entry of gifts, especially during busy department seasons, like the holidays and Harvest for Hunger.
- Manage the donor services team, including the development coordinators and temporary staff. Establish goals and objectives related to gift processing and supporter acknowledgment.
- Oversees and assists with entering fundraising revenue data into our donor database, including cash, credit card gifts, stock, in-kind donations, grants, and special event income, ensuring accuracy and donor privacy at all times.
- Provide leadership to ensure a culture of competence, professionalism, efficiency, and customer service on the donor services team.
- Evaluate gift processing and acknowledgment systems and standards, and recommend to the Associate Director - Annual Fund and Operations, improvements or changes. Identify resources needed to meet those standards, present the need and any related budget implications, and plan accordingly.
- Responsible for all data management in Raiser's Edge and Luminate Online (e-commerce). Work with outside consultants as needed to identify ways to utilize software to its total capacity and keep current on best practices related to database management and data utilization.
- Responsible for preparing and maintaining department policies and procedures about the Raiser’s Edge system.
- Lead interdepartmental planning and communication for effective donor database use, including creating and implementing policies and procedures. Monitor internal Raiser's Edge usage, provide training to Philanthropy staff and ensure the accuracy and integrity of the database.
- Oversee all data migration between Raiser's Edge and Luminate Online, ensuring the development coordinator runs the integration regularly and all data is consistent and accurate.
- Provide support to direct mail efforts through data management, including providing data for mailings and uploading direct mail donor files.
- Manage the production and sending of tax receipt letters to appropriate donors in January/February.
- Pull donor lists for the Annual Report and all mailing lists for various event initiatives.
- Participate in strategy and planning with the rest of the development team to ensure donor cultivation efforts are well-coordinated, executed, and tracked so that the database can serve as a vital cultivation tool for the fundraising team.
- Develop queries and reports for Food Bank staff and volunteers and import and export data for mailings and other projects.
- Provide data to the CFO & Vice President and Feeding America for the annual Network Activity Report.
- Provide support to Harvest for Hunger and operations special events, including Market at the Food Bank and Taste of the Browns, by working the events and overseeing entry of all event gifts and transactions.
- Maintain required job knowledge and skills and core professional competencies. Attend and participate in required educational programs and staff meetings.
- Performs other duties and special projects as assigned.
SUPERVISORY RESPONSIBILITIES
This position hires and supervises (2) development coordinators and temporary data entry staff.
QUALIFICATIONS
Bachelor's degree (B. A.) from a four-year college or university or three to five years of fundraising experience or experience working with a fundraising team required. Raiser's Edge, Luminate Online or other fundraising database experience preferred. Fundraising database experience, including experience with running queries and reports, gift entry, and donor stewardship required. Supervisory experience preferred. Strong organizational, planning and communication skills are imperative. Proficiency in Microsoft Office, particularly Excel, applications are required. Willingness to work beyond regular working hours when necessary. This position requires strong attention to detail, working in a team atmosphere, and managing a flexible schedule.
PHYSICAL REQUIREMENTS
The physical requirements for this position include: Ability to remain in a near-constant stationary position. Ability to move about inside the office to frequently access file cabinets, office machinery, etc. Ability to operate a computer or other office productivity machinery constantly. Occasional ability to ascend/descend stairs to access workspaces. Occasional ability to position or move body to access filing cabinets or other work equipment. Ability to constantly exchange accurate information and communicate in person or via telephone with clients, partners, donors, coworkers, and other members of the community. Must be able to view a computer screen constantly. Ability to move office equipment/supplies on seldom occasions. Ability to lift 10-25 lbs regularly. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.
