Description of responsibilities:

Under general supervision, the Courtroom Clerk works alongside the Judge in open court to digitally record all hearings and draft minute entries, warrants, orders, etc. A minute entry is the official record summarizing specific events of a court proceeding, to include future court dates, findings, and rulings of court cases. Original minute entries are to be filed with the Clerk of the Court and held in the court file indefinitely as public record; and copies are to be distributed to attorneys and/or parties of the case in a timely fashion.

  • Greeting customers, both by telephone and in person, in a friendly, courteous, and professional manner.
  • Maintain a professional work environment and comply with the company's dress code policy.
  • Utilize various court automation systems (AJACS, OnBase, AZPoint) and software for case management; data entry; docketing precise event codes; and finalizing/uploading pleadings, orders and minute entries into the electronic file.
  • Record all hearings using computer software and/or hand-held recording devises.
  • Take notes of all court proceedings using Microsoft Word, pen & paper and/or shorthand, and disburse notes to Judicial Assistants, Probation Dept. and Clerk’s Office for purposes of calendaring and/or assisting the public.
  • Prepare clear and concise minute entries, warrants, orders, etc. using Microsoft Word - in a timely fashion and to a high degree of accuracy.
  • Utilize general office equipment to perform other administrative duties as needed, such as filing, photocopying, disbursing minute entries, etc., in an efficient and timely manner.
  • Prepare the courtroom for hearings that are scheduled to take place, including but not limited to printing calendars, making accommodations for unique individuals or circumstances; straightening chairs; clearing debris from tables; stocking paper, tissues, and other supplies, etc.
  • Receive/file stamp documents filed in open court and at the counter.
  • Mark evidence as presented and keep exhibits that are admitted into evidence.
  • Clerk jury trials/read verdicts (public speaking) and assist with jury room preparation.
  • Administer oaths to witnesses, interpreters and bailiffs (public speaking).
  • Assist public with record requests and general inquiries, including legal information.
  • Certify/seal court documents.
  • Prepare prison packets for transport of inmates by the Sheriff’s Office.
  • Adjudicate files, including but not limited to preparing MVD abstracts, sentencing checklists, etc.
  • Answer multiple phone lines and respond to email inquiries regarding services and functions.
  • Maintain confidentiality at all times.
  • Work closely with local and visiting judges, attorneys, probation officers, court staff, litigants, inmates, and the public.
  • Perform duties independently or as a team.
  • Update information in AJACS, such as names, addresses, attorney assignments, etc.
  • Perform other duties as required.

Job Type: Full-time

Pay: From $36,020.00 per year
