Job Summary and Qualifications

POSITION SUMMARY:

Oversees development, marketing, planning and execution of all Continuing Medical Education (CME) activities at Las Palmas Del Sol Healthcare. Provides administrative and technical support to the CME Committee. Serves as a liaison to physicians, residents, and medical students.

POPULATION SERVED: Medical Staff

ESSENTIAL FUNCTIONS:

  • Responsible for the administration of the Texas Medical Association (TMA) accreditation process.
  • Establishes systems, procedures and policies to ensure continued compliance with TMA.
  • Stays abreast of TMA accreditation guidelines and essentials.
  • Responsible for preparation of documentation for on-site visit to include completion of TMA self-study module and requested files with TMA for re-accreditation cycle.
  • Responsible for all aspects of maintaining of reaccreditation.
  • Prepares TMA annual report and other special reports as required to maintain up-to-date accreditation.
  • Identifies appropriate internal controls for department; provides mechanisms to monitor and enforce compliance with TMA essentials.
  • Responsible and ensures that all CME activities are planned in compliance with CME Mission, policies and TMA essentials, i.e. needs assessment with identified professional gaps, reflects desirable physician attributes, outcomes, and back-up documentation as deemed necessary.
  • Pursues opportunities to develop new, and expand current, educational activities/programs and services.
  • Assists in researching, developing and coordinating the implementation of continuing medical education courses.
  • Responsible for the implementation and compliance of CME related HCA Ethics and compliance policies.
  • Ability to coordinate multiple activities at the same time.
  • Flexible work schedule to accommodate attendance at meetings during the week and weekends if necessary. The position requires adaptability and flexibility to altering demands and work hours.
  • Prepares documentation for program review at CME committee meetings including needs assessment, learner objectives, disclosures, budgets, etc.
  • Plans and coordinates Continuing Medical Education (CME) symposia and single activities from inception to evaluation (all documentation required, order catering, obtain speaker disclosures, sign-in sheets, enter data into Cactus, etc.).
  • Participates in hotel contract negotiations including rates, dates, space, food and beverage, etc.
  • Manages acquisition of content for program brochures to include objectives, faculty, schedule, hotel information, CME required elements, and registration information.
  • Prepares faculty correspondence, CME forms and organize the logistics of the speaker’s hotel and travel for all activities and symposium.
  • Coordinating all CME marketing efforts and prepares fliers, save the date cards and syllabus for printing to include appropriate CME elements.
  • Manages communications with exhibitors and corporate supporters; organizes logistics for exhibit displays and provides on-site exhibit management.
  • Reviews and assures that all vendor contracts are in compliance with the Standards for Commercial Support.
  • Building and maintaining relationships with members of medical/executive leadership.
  • Excellent interpersonal communication and public relations skills, including the ability to incorporate diplomacy, tact, patience and professionalism into day-to-day activities.
  • Monitoring of registration reviews and course evaluations.
  • Travel in support of the CME activities, symposium and other activities as needed.
  • Attends and participates as a member of the CME committee.
  • Assures confidentiality of medical staff activities as they relate to the functions and responsibilities of the CME program.
  • Oversees, develops and maintains up-to-date CME computer program for all sponsored CME programs including statistical data needed for internal and external entities.
  • Collaborate with other disciplines and departments to ensure a robust offering of CME to physicians, residents, and medical students.
  • Responsible for the medical student clinical rotation and clearance process to include entering into the Provider Dictionary and ESAF for computer view access only and establish practices and processes improve.
  • Serve as physician liaison for the medical staff shadowing program to include being the point of contact, provide shadowing paperwork, answer any questions for Medical Staff and/or the observer, processing of paperwork, notification of affected departments and maintenance of files.
  • Adheres to hospital and department safety policies and procedures.
  • Demonstrates Customer Service principles and behaviors consistent with Las Palmas Del Sol vision and values.

REQUIRED EDUCATION/EXPERIENCE

  • Required qualifications include an associate’s degree in related field, a degreed professional or demonstrated equivalent competency.
  • Preferred experience include minimum qualifications are 4 years of medical education experience with a minimum of one-year experience in hospital/medical staff background preferred.

    • Excellent communication and interpersonal skills with a high degree of professionalism and competence in dealing with a variety of individuals including physicians, administrators and company or industry representatives.
    • Demonstrated leadership abilities and experience in educational, financial, and management processes.
    • Knowledgeable and demonstrated experience with TMA accreditation processes.
    • Effective problem solving skills including the ability to analyze and evaluate data and make appropriate decisions and recommendations.
    • Critical thinker who enjoys interacting with others and can find solutions on her/his own, but also able to work with a team.
    • Ability to develop, organize, and accomplish goals.
    • Ability to work under pressure and deadlines.
    • Ability to handle multiple projects simultaneously.
    • Experience in conference and meeting planning.
    • Experience and/or knowledge of adult education.
    • Knowledgeable and demonstrated experience with relevant computer software.
