CITY CLERK

CITY OF DWIGHT

This position requires an individual with the ability, skills and willingness to work alongside other city employees. The responsibilities include but are not limited to the following as outlined. Clerk position is based upon an average of 40 hours per pay period. Any hours over the 40 hours will require prior approval.

Customer Service

  • Provide welcoming environment for those visiting the City Office
  • Answer and return any phone calls, letter and emails
  • Listen to and assist patrons with any issues they may have in a professional manner
  • As Public Information Officer, respond to any citizen information requests within 3 business days

Council

  • Attend all regular and when requested special City Council meetings. The regular meeting of the City Council is the 3rdMonday of every month.
  • Prepare and submit minutes of each meeting. Minutes will be submitted to the Council Grove Republican and Prairie Post after council approval. Publish agenda and minutes on the City website. Store minutes with agenda and meeting handouts. Maintain City Facebook page.
  • Prepare and submit any notices, ordinances, etc to the Council Grove Republican, Prairie Post, City website and City Facebook page as directed by Mayor or Council.
  • Be knowledgeable about City Ordinances
  • Respond to Mayor or Council requests for information
  • Prepare and mail all letters to be sent out regarding past due water bills, failure to comply with ordinances and any other concerns which may arise
  • Prepare all reports to be included in a packet for the Mayor and each Council member and have ready by Friday before the meeting. Advise members that packets are ready to be picked up.

Accounts Payable and Receivable

  • Enter all bills in accounting software. Following bills are preapproved to be paid to avoid late charges:
  • Evergy
  • Kansas Gas
  • Tri-County Telephone
  • Superior Trash
  • Rural Water District
  • Pay remaining bills after approval by Council
  • Prepare invoices as needed for mowing and other receivables as directed by Council
  • Co-Ordinate with CPA and/or Treasurer to prepare financial information as directed

Payroll

  • Prepare bi-weekly and monthly payroll
  • Pay Mayor and Council members after each regular meeting and special meeting
  • Make payroll tax deposits – 941 and Kansas Withholding
  • Complete W2 Forms
  • 941 Report in January of each year – reports all quarterly 941’s
  • W3 Master report of all W2’s
  • Prepare all reports required for payroll

Miscellaneous

  • Coordinate and maintain water and sewer records and or reports
  • General housekeeping of City office
  • Other duties as required or as assigned by the Mayor or Governing Body
  • Sales Tax Return – quarterly as required
  • 1099 & 1096 IRS Forms at the beginning of each year
  • Annual Water Report – March of each year
  • Annual USDA Report – April of each year

Pay: From $13.00 per hour
